Job Title : Automation Assistant
Department : Automation
Reports to : Automation Operations Manager
Location : Office
Summary of Position :
Provide support and assistance to the Automation administration staff and perform scheduling and dispatch duties for automation customers.
Primary Duties and Responsibilities :
Primary
Answer customer calls and creates service work orders
Create work orders for the automation construction and service technicians
Ensure technicians complete all necessary paperwork / electronic forms
Verify technicians time and enter in COINS
Review technicians calls for closeout or additional actions
Review and submit COINS technician payroll
Request new / updated customer and location information to be added / changed in COINS
Review open and pending orders for proper closing before billing
Review and reconcile billing issues
Update EBD and locations job list as needed
Assist members of the team with administrative duties
Administrative
Generate & deliver repair quotes to estimator for standard repairs found by controls technicians
Ordering and tracking of all control materials
PO generation and invoice approval
Maintain organization of material in the warehouse and parts log
Track accessory parts from mechanical construction team
Manage warranty parts (order / process RMA)
Process P-card receipts
Schedule vehicle maintenance and assist with vehicle coordination
Process Cost Transfers for materials and labor
Update and maintain controls BOD including job cost update
Update and maintain extended job list
Process and submit turnover documents
Assist with submittal package creation and submission
Update and maintain location EBD PM / CSA documents
Request tax and / or insurance documentation
Generate PM WOs in COINS
Knowledge, Skills and Abilities

Outstanding computer / data entry skills
The ability to foster relationships between customers and team members
1-year of office experience in an administrate / support roll required
Construction industry experience preferred
Physical Requirements :
Ability to lift 25lbs
Regularly spend long hours sitting and using office equipment and computers.
Frequently bend to file and maintain files.
Regularly use hands and fingers to handle, control or feel object.
Compensation Range : Hourly wage based on experience.
