Job Title: Administrative Office Support Specialist
Overview:
EMCS Inc. is a leading building technology contractor specializing in the integration of advanced systems that optimize building performance. Our comprehensive range of products includes HVAC controls, power metering, and other essential technologies designed to make buildings work smarter and more efficiently. We are currently seeking an Administrative Office Support Specialist to join our team and provide crucial support to our Office Manager while contributing to the overall efficiency of our operations.
Key Responsibilities:
- Financial Support: Assist with credit card reconciliations, invoicing, and managing accounts receivable (A/R) and accounts payable (A/P) to ensure accurate and timely financial records.
- Contract & Insurance Management: Handle requests for insurance and bonding documentation, manage contracts, and support compliance requirements.
- Bookkeeping: Maintain accurate records and perform general bookkeeping tasks, preferably with experience in QuickBooks Online, as we transition to this platform.
- Onboarding & HR Support: Aid in the onboarding process for new employees, assist with HR documentation, and support other HR-related tasks.
- Office Administration: Provide day-to-day support to the Office Manager, taking on additional responsibilities as needed and learning all aspects of office management with the goal of assuming the Office Manager role by the end of 2025.
Qualifications:
- Experience: At least 2 years of experience in an administrative or bookkeeping role, preferably with exposure to office management functions.
- Bookkeeping Skills: Strong understanding of A/R, A/P, and general ledger functions. Experience with QuickBooks Online is a plus.
- Detail-Oriented: High level of accuracy and attention to detail in managing financial records and administrative tasks.
- Communication Skills: Strong written and verbal communication skills to interact effectively with internal teams and external partners.
- Adaptability: Willingness to learn and adapt to new tasks and processes, with a desire for professional growth.
