The Marketing & Move In Coordinator provides support for all aspects of the marketing and sales effort, including facilitating move-ins/move- outs. This primarily includes managing the marketing office, coordinating events, managing and monitoring the database, creating and producing reports, and other office management support functions.
Pay: $24.00 - $28.00 based on experience
This role is commission eligible - Estimated $9,600 to $18,000 a year

Primary Responsibilities:
- Works closely with the marketing staff in a team environment.
- Assist Marketing Director with the implementation of the annual marketing plan.
- Performs initial data input and ongoing maintenance of accurate records in the marketing information database system, including prospect leads, mailing lists, future resident list, and independent/residential inventory, as well as hard copy files as appropriate.
- Manages selection process for new resident’s apartments and coordinates refurbishment completion with facilities team and vendors utilizing available computer software.
- Manages the rotation system for distribution of incoming inquiry calls and new leads.
- Manages the move in process once an apartment has been reserved.
- Coordinates the logistical details of marketing events including mailings, RSVPs, room reservation, food, décor, equipment, etc.
- Assists with and participates in marketing events and open houses as requested.
- Provides marketing staff with administrative, logistical and procedural office support.
- Coordinates the logistical details of obtaining medical records for new residents including faxing signed health authorization forms, follow-up with clinics and medical records departments, bringing records to Clinic nurse, scheduling appointments with clinic nurse and new residents etc.
- Produces accurate and timely marketing activity and sales reports for distribution to staff, consultants, and board of directors
- Processes and records Future Resident and residency deposits, cancellations, transfers, etc.
- Monitors, coordinates, and replenishes inventory of marketing and move-in/out materials and supplies.
- Monitors and ensures regular and timely routing and distribution of hardcopy communications to and from the marketing office.
- Coordinates the efficient operation and maintenance of the shared marketing/resident services work spaces.
- Serves as key operator for the operation and timely maintenance/repair of marketing office equipment.
- Ensures that marketing office supplies are ordered, stored, and distributed properly.
- Coordinate with future residents and their families, movers, and EH staff to ensure a smooth move-in process.
- Issue keys/fobs to apartment/mailbox/entry doors to residents at time of residency.
- Ensure delivery of welcome gift and box lunch(es) to new residents, including new resident information package.
- Personally visit with new residents on day of move-in, or shortly thereafter.
- Lead person to manage in-house moves to Corwin Center, coordinates with family members and furniture and thrift store liaisons and completes final walk through of apartments. Status change notices to be done by sales staff.
- Completes various administrative projects as directed by supervisor.
- Gives prospect and public relations tours when marketing and sales staff are not available.
- Participates in marketing strategy planning meetings as requested.
- Participates in staff meetings and resident functions as appropriate and requested.
- Complies with Emerald Heights’ policies.
- Other duties as assigned.
Required Knowledge, Skills and Experience:
- Must possess, as a minimum, a high school diploma.
- At least two years’ experience in working with the public in face-to-face interaction, preferably with a senior adult population.
- Experience and strong computer skills with Microsoft Office: Word, Excel, Outlook, PowerPoint and database management for statistical reporting.
- Sensitive and responsive to prospects’ and resident’s needs.
- Tactful and courteous when dealing with residents and staff.
- Good judgment and decision-making skills.
- Ability to maintain confidentiality.
- Ability to deal with multiple priorities/demands.
- Professional demeanor and appearance.
- Effective oral and written communication in English.
- Excellent organizational skills.
- Ability to learn and troubleshoot other computer software programs as needed (i.e., customer management database).
- Able to work a flexible schedule to support occasional weekend move-ins and periodic after hours’ events as needed.
