Medical Records Specialist | Team Lead

The Medical Records Specialist is responsible for maintaining patients’ health records, ensuring their information is transferred and stored properly. This role performs a variety of tasks including collecting patient information, issuing medical files, filing records, and processing patient requests.

Qualifications and Experience

  • High school diploma or equivalent
  • Minimum two years of customer service experience, preferably in a medical office setting
  • Comfortable using multiple technology-based communication systems effectively and simultaneously
  • Excellent verbal and written communication skills
  • Advanced organization skills
  • Attention to detail to ensure accuracy
  • Familiarity with medical terminology
  • Good time management skills
  • Excellent problem-solving skills

Responsibilities include but are not limited to, the following

  • Handle phone calls regarding medical record documentation
  • Pull corresponding medical charts and distribute them to appropriate personnel as required
  • Pull, distribute, and import incoming faxes along with relevant chart documentation
  • Locate and distribute medical record documentation for staff, physicians, and PA / NPs
  • Sort and distribute incoming mail appropriately
  • Scan documentation into patient’s medical record, including dictation, lab work, correspondence from physicians, etc.
  • Coordinate scanning and boxing of medical records with the outsourced record retention service
  • Purge and process scanned paper medical charts to the outsourced retention service, per policy
  • Performs other duties as required and assigned by Manager, including schedule changes and travel to office locations as assigned

  • Follows all applicable department and practice policies and procedures
  • Maintains patient confidentiality; complies with HIPAA privacy and confidentiality guidelines established by the practice
  • Maintains detailed knowledge of practice management and other computer software as it relates to job function
  • Performs other duties as required and assigned by Manager, including schedule changes and travel to office locations as assigned
