The Referral Coordinator is responsible for scheduling new patient appointments from multiple referral sources. This position is also responsible for rescheduling new patient appointments.
Qualifications and Experience:
- High school diploma or equivalent
- Minimum two years of customer service experience, preferably in medical office setting
- Previous experience using multi-line phone system, preferred
- Comfortable using multiple technology based communication systems effectively and simultaneously
Responsibilities include, but are not limited to, the following:
- Utilize practice management software to perform his/her specific duties
- Respond timely to live calls and messages retrieved from multiple voicemail boxes
- Will make, cancel or reschedule appointments for new patients, assumed care and second opinion patients
- Create and update new patient account information in the practice management system as necessary
- Maintain a caring, cooperative and understanding demeanor to affect company values and promote a patient centric atmosphere.
- Update departmental logs for new patient processes
- Follow communication protocol in scheduling all new patient appointments including assumed care patients with physician approval
- Return patient initiated messages regarding appointments in an acceptable time frame
- Organize electronic patient records based on referral status and import into the EMR
- Relay information regarding the patient portal and assist in resolving portal issues
- Maintain a good working relationship with all other departments
- Will act as backup to Operator
- Performs other duties as required and assigned by Manager
