emerjence LLC is seeking a junior to mid-level Contracts Administrator to support the management and administration of federal contracts on a part-time basis. This role will focus on two primary areas : contract management (including subcontracts) and invoice management, along with other essential responsibilities to ensure smooth contract lifecycle processes and compliance with federal regulations.
Key Responsibilities
Contract Management :
Draft, review, and manage prime contracts, subcontracts, and teaming agreements.
Oversee contract modifications, deliverables, milestones, and renewals.
Serve as the primary point of contact for subcontractors and internal teams on contract-related matters.
Maintain accurate and comprehensive contract records, ensuring compliance with FAR / DFARS and other federal regulations.
Invoice Management :
Oversee the invoicing process for federal contracts, ensuring timely and accurate submissions.
Coordinate with internal finance teams and subcontractors to resolve invoicing discrepancies.
Track payments, monitor invoice aging reports, and follow up on unpaid invoices.
Ensure invoices align with contract terms, funding ceilings, and federal requirements.
Additional Responsibilities :
Monitor compliance with federal contracting guidelines, including audits and periodic reviews.
Provide guidance to project teams on contract terms, obligations, and deliverable schedules.
Maintain updates in contract management systems and prepare regular status reports.
Support pricing and proposal development by reviewing contract terms and ensuring alignment with business goals.
Qualifications Education & Experience :
Bachelors degree in Business Administration, Finance, Law, or related field (preferred).
Minimum of 3 years of experience in federal contract and invoice management.
Skills & Knowledge :
Strong understanding of FAR / DFARS, government procurement processes, and federal invoicing systems.
Proven ability to manage prime and subcontract agreements in a federal contracting environment.
Proficiency with contract management systems (e.g., Deltek, JAMIS) and invoicing tools.
Excellent attention to detail, time management, and organizational skills.
Strong communication and interpersonal skills for collaboration with internal teams and external partners.
Preferred :
Experience working in federal IT consulting or with small businesses in the government contracting space.
Familiarity with GSA schedules, IDIQ / BPA contracts, and government acquisition strategies.
