The Office Administrator will be responsible for supporting our office operations by handling company administrative tasks, managing office supplies, coordinating conference rooms and providing additional support needed throughout departments as needed.
Key Areas of Responsibility:
Phone & Guest Management
- Answer and direct incoming calls professionally.
- Greet and badge in guests, ensuring proper visitor procedures are followed.
- Provide assistance to employees and visitors as needed.
Office & Facility Coordination
- Maintain office supply inventory, restocking as needed.
- Manage conference room schedules and ensure meeting spaces are properly set up.
- Assist in general office upkeep and organization.
Administrative Support
- Run errands as necessary for office or company needs.
- Assist with document preparation, filing, and data entry.
- Draft, edit, and proofread correspondence, reports, and presentations.
- Distribute mail and manage incoming/outgoing shipments.
- Maintain and update company contact lists and office records.
- Assist with scheduling and coordinating meetings, travel arrangements, and company events.
- Process invoices, expense reports, and purchase orders as required.
- Support various departments with administrative tasks as assigned.
Education/Experience:
Required:
- High School Diploma
- Proficiency in Microsoft Office applications.
Skills and Abilities:
- Minimum of 3 years of office experience in an administrative or front-desk role.
- Strong organizational skills and attention to detail.
- Ability to multi-task and adapt to changing priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment.
- Professional demeanor with excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Ability to multitask and prioritize work effectively.
Preferred:
- Manufacturing industry experience.
- Aerospace industry experience.
Physical Requirements:
- Must be able to sit or stand up to 8 hours per day.
