We are currently looking for an experienced Medical Assistant (MA) to join our dynamic team. The MA will serve as a key team member, balancing both clinical and front-desk responsibilities to ensure smooth and efficient operation of the medical spa. This role requires an individual who is adept at managing client schedules, assisting providers, collaborating with administration, and providing exceptional customer service. The ideal candidate will have experience as a both a medical assistant and in front desk operations, be highly organized, and possess excellent interpersonal/communication skills.
Duties
- Manage Daily Schedules: Ensure efficient and optimized scheduling for all providers to maximize daily appointments and minimize downtime. Prioritize new, urgent or last-minute bookings while maintaining a smooth flow of clients throughout the day.
- Appointment Coordination: Schedule client appointments, reschedule as necessary, and ensure providers’ time is managed effectively.
- Customer Service: Greet and check in clients upon arrival, ensuring a warm, professional, and welcoming experience. Answer phones, respond to inquiries, and provide information about services and skin care products.
- Client Communication: Manage appointment reminders, follow-up communications, consent forms, and pre/post-treatment instructions to ensure client preparedness and satisfaction.
- Collaborate with administrators and clinical providers to ensure exceptional client experience and smooth daily operations.
- Maintain all patient records (including photos).
- Prepare clients for treatments and assist with procedures as directed by providers.
- Prepare and sterilize treatment areas, equipment (lasers/devices), and instruments.
- Monitor clients during select treatments, ensuring comfort and safety.
- Order and manage office supplies and ensure inventory levels are well maintained and appropriate rooms/areas are stocked at all times.
- Follow up on monthly cancellations, no shows and loyalty rewards for client retention purposes.
Qualifications
- Medical Assistant certification (CMA, RMA) preferred.
- Previous experience in spa, dermatology, or cosmetic setting is a plus.
- Knowledge of medical terminology, procedures, and patient care practices.
- Proven experience in front desk operations, scheduling, and customer service.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Exceptional communication and interpersonal skills.
- Proficiency in electronic medical records (EMR) systems and appointment scheduling software.
