Job Summary:
The Office Administrator at Emkat Inc. plays a critical role in ensuring the smooth and efficient operation of our staffing and recruiting agency. This position is responsible for overseeing daily administrative functions, managing office operations, assisting with payroll and compliance, supporting sales and recruiting teams, and ensuring excellent client and employee service.
Key Responsibilities:1. Office Operations & Administrative Support
- Manage daily office activities to ensure a productive work environment.
- Handle correspondence, emails, phone calls, and inquiries from clients, candidates, and vendors.
- Maintain organized records of company documents, contracts, and personnel files.
- Order and manage office supplies, ensuring the office is stocked and operational.
- Coordinate schedules, meetings, and travel arrangements for executives and staff.
- Assist with data entry and documentation for staffing contracts, employee records, and compliance reports.
2. HR & Payroll Assistance
- Support onboarding of new employees, including paperwork processing, background checks, and orientations.
- Maintain accurate employee records, including work hours, attendance, and performance reports.
- Assist with payroll processing, ensuring timesheets are reviewed and approved.
- Monitor compliance with employment laws and company policies.
- Address employee inquiries regarding benefits, policies, and HR-related concerns.
3. Sales & Recruiting Support
- Provide administrative assistance to sales representatives and recruiters.
- Help track client contracts, job orders, and candidate placements.
- Assist in scheduling candidate interviews and client meetings.
- Maintain and update CRM and applicant tracking systems (ATS) with relevant information.
- Prepare and distribute reports on sales performance, recruitment metrics, and operational efficiency.
4. Client & Candidate Relations
- Serve as a point of contact for client and candidate inquiries, ensuring excellent customer service.
- Assist in resolving client concerns by directing them to the appropriate team members.
- Ensure timely follow-ups with candidates regarding job applications, interview statuses, and onboarding processes.
5. Compliance & Reporting
- Ensure all business operations align with Massachusetts labor laws and staffing industry regulations.
- Assist with internal audits to ensure compliance with state and federal employment laws.
- Prepare reports and documentation for regulatory filings, contracts, and business performance metrics.
Qualifications & Requirements:
- Education: Associate’s or Bachelor’s degree in Business Administration, Human Resources, or a related field preferred.
- Experience: Minimum of 2 years in office administration, preferably in a staffing, recruiting, or human resources environment.
- Skills:
- Strong organizational and time management skills.
- Excellent verbal and written communication.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM/ATS software.
- Ability to multitask and prioritize workload in a fast-paced environment.
- Problem-solving skills and attention to detail.
- Knowledge of Massachusetts labor laws and payroll processing is a plus.
