What are the responsibilities and job description for the Special Events Coordinator position at Empath Health?
Key Responsibilities:
- Collaborate with the Director of Corporate Philanthropy to plan and manage EPIC special events and fundraising initiatives.
- Develop an annual plan for special events, seeking approval from the Director of Corporate Philanthropy.
- Cultivate relationships within the LGBT community to identify prospects for sponsorships, major gifts, and planned giving.
- Partner with the Director of Philanthropy and Director of Planned Giving to create and implement fundraising strategies.
- Work with Foundation, marketing, and EPIC teams to design targeted direct mail campaigns.
- Establish systems for ongoing monitoring, evaluation, and reporting of special events, including tracking results and trends.
- Recruit, train, and manage special events volunteers, ensuring a positive and productive volunteer experience.
- Act as a liaison for volunteers during events, ensuring proper screening, assignment, and supervision of volunteer positions.
- Track and report volunteer hours using Raiser’s Edge database.
- Maintain regular communication with volunteers, providing updates through meetings, agency publications, and emails.
- Assist with public relations and community outreach as needed.
- Ensure compliance with event policies and participate in public relations efforts.
- Maintain accurate event records in Raiser’s Edge and perform other duties as assigned.
Qualifications/Requirements:
- Education and Experience: Bachelor’s degree (B.A.) from a four-year college or university, or one to two years of related experience and/or training, or equivalent combination of education and experience.
- Knowledge: Familiarity with HIV services and support systems preferred.
- Special Events Experience: At least 2 years of experience in special event management, with a focus on leadership and event execution.
- Volunteer Supervision: Experience in managing or supervising volunteers preferred.
- Skills: Strong administrative, organizational, and computer skills. Experience with Raiser’s Edge is a plus.
- Teamwork: Must thrive in a team-oriented environment and be adaptable to diverse roles and responsibilities.
- Transportation: Reliable transportation is required for event-related tasks. Must be able to provide proof of automobile insurance, a copy of which will be placed in the employee file.
- Physical Requirements: Ability to stand for extended periods of time during events.
