**Job Summary:**
We are seeking an Administrative Support position to assist with the internal operation of the Melville, NY Office. Administrative tasks such as mailing, filing, shredding, data entry, answering phone calls, taking messages, forwarding faxes and emails through electronic systems. Administrative Assistants will coordinate with team members for department coverage in order to achieve department objectives. Stretch projects to increase responsibilities and provide additional experience will be assigned as available.
**Qualifications:**
- Preferred 0-2 years' of relevant experience
- Proficiency in Microsoft Office Suite
- Excellent communication skills
- Strong organizational and multitasking abilities
- Additional experience that is not required but would be a plus:
- CRM or another computer database
- Data entry experience
- Customer service
- Any experience in healthcare, insurance, or working with doctors
**Responsibilities:**
- Manages incoming department phone calls, emails, and faxes
- Sets up cases in the system for the coordinators
- Distributes cases timely and evenly to coordinators
- Sends out initial notices on IMEs (Independent Medical Evaluation)
- Retrieves requests from state and client portals
- Adds file updates such as address and contact changes
- Fixing incorrect information in case database and general upkeep
- Troubleshooting contact information errors with states, clients, providers, & claimants
- Field client, claimant, provider, and state inquiries and route to IRO coordinators or UR nurses as necessary
- Follows up on client inquires
- Backup support for other offices as necessary
- Other tasks as delegated by Management.
**Additional Skills:**
- Personal computer literacy and competency is required.
- Experience in Microsoft Suite is required.
- Good Customer services skills
