JOB DESCRIPTION
The Accounts Receivable/Accounts Payable (AR/AP) Manager, employed by HR MGMT 10 LLC, will oversee all aspects of the company’s accounts receivable and payable functions, ensuring accurate and timely processing of financial transactions and compliance with company policies and industry-specific regulations. This role involves managing cash flow, maintaining accurate financial records, coordinating with internal and external stakeholders, and supporting financial reporting and analysis. The ideal candidate will have a strong background in accounting, proficiency in financial software, and experience in a regulated industry, preferably in cannabis.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Key Responsibilities:
Accounts Receivable (AR) Management:
- Oversee all AR activities, including invoice creation, payment collection, and reconciliation.
- Ensure accurate and timely posting of payments, credits, and other transactions in the accounting system.
- Monitor aging receivables and manage the collections process to minimize outstanding balances.
- Collaborate with sales and customer service teams to resolve billing discrepancies and customer payment issues.
- Prepare and distribute AR aging reports to management, highlighting overdue accounts and proposed action plans.
Accounts Payable (AP) Management:
- Oversee all AP activities, including invoice processing, vendor payment scheduling, and reconciliation.
- Ensure timely and accurate entry of invoices, expense reports, and other disbursements into the accounting system.
- Maintain relationships with vendors and negotiate payment terms to optimize cash flow.
- Review and approve payment batches, ensuring proper documentation and adherence to company policies.
- Prepare and distribute AP aging reports to management, providing insights on payment schedules and cash flow projections.
Financial Reporting and Compliance:
- Ensure compliance with generally accepted accounting principles (GAAP) and industry-specific regulations, including cannabis industry requirements.
- Support month-end and year-end close processes, including journal entries, account reconciliations, and financial statement preparation.
- Coordinate with external auditors and prepare necessary documentation for financial audits.
- Maintain comprehensive and organized financial records to support compliance with tax, regulatory, and reporting requirements.
Team Leadership and Development:
- Lead, train, and mentor a team of AR and AP specialists, ensuring accuracy, efficiency, and compliance with financial processes.
- Conduct regular performance evaluations and provide coaching and development opportunities to enhance team skills and productivity.
- Foster a collaborative and results-driven work environment that encourages continuous improvement and professional growth.
Process Improvement:
- Identify opportunities to streamline and improve AR/AP processes, leveraging technology and automation where possible.
- Develop and implement policies and procedures to enhance the efficiency and accuracy of AR/AP operations.
- Collaborate with the finance team to improve cash flow forecasting and financial reporting accuracy.
Coordination and Communication:
- Work closely with the finance, procurement, and sales teams to ensure alignment on billing, collections, and payment processes.
- Provide regular updates to the Finance Manager and other stakeholders on AR/AP metrics, cash flow status, and process improvement initiatives.
- Address financial-related questions or concerns from internal and external stakeholders, providing guidance and support as needed.
QUALIFICATIONS
- Bachelor’s degree in Accounting, Finance, or a related field.
- Minimum of 5 years of experience in AR/AP management, preferably within the cannabis, food and beverage, or pharmaceutical industries.
- Strong understanding of GAAP, financial regulations, and compliance requirements, particularly those relevant to the cannabis industry.
- Proven leadership skills with experience managing an accounting team in a fast-paced environment.
- Excellent analytical, organizational, and communication skills.
- Proficiency in accounting software (e.g., QuickBooks, NetSuite, or similar) and MS Office, particularly Excel.
REQUIREMENTS:
- Must be 21 years old.
- Ability to pass a criminal background check.
- Ability to obtain and maintain any required state-specific certifications for financial roles within the cannabis industry.
- Physical ability to perform typical office tasks, including sitting, standing, and using computer equipment.
