The Accounting Specialist will be responsible for processing and recording accounts payable transactions in the general ledger, maintaining organized financial records, and assisting in the preparation of monthly and annual financial statements. This position also involves collaborating with the Finance and Accounting team to support essential accounting activities.
Minimum Qualifications
Bachelor’s degree in Business Administration or Accounting
2 years’ experience in accounting or accounts payable
Knowledge of MS Office Suite
Knowledge of budget monitoring and management
Bilingual in English and Spanish
Valid Texas Driver License
Typical Duties
Reviews and validates all payables before processing in the general ledger and budget system.
Reconciles and reviews monthly vendor statements.
Uploads weekly payables from the budget systems to the accounting systems, ensuring all transactions are correctly posted.
Processes and organizes invoices to ensure timely payment of bills.
Oversees the organization’s credit card payment controls in coordination with the IT, Purchasing Specialist and cardholder teams to ensure timely payments.
Reviews and validates expenditures by comparing expenses in the budget system to the general ledger.
Receives and reconciles daily cashier closings to include donations and daily billing collections.
Reconciles month-end billing collections.
Performs daily reconciliations of the organization’s cash accounts (including checks, income from donations, and income from sales / services at the gift shop).
Assists the Accounting Coordinator with analyzing expenditures, financial reporting, and reconciling accounts and balance sheets for accuracy.
Prepares weekly and monthly journal entries.
Conducts monthly bank reconciliations.
Efficiently files and organizes the organization’s accounting documentation for easy access and retrieval.
Adheres to internal accounting procedures and policies to maintain financial security and integrity.
Performs other duties, tasks and special projects as assigned.
