POSITION TITLE: Administrative Specialist/Intake Specialist
REPORTS TO: Director
POSITIONS SUPERVISED: None
FLSA STATUS: Non-Exempt
PURPOSE: The Intake Specialist’s primary responsibility is to coordinate and oversee all Intake inquiries through phone and emails, perform administrative duties in an office and ensure that the office operates efficiently and smoothly. Oversee the intake documents distribution and collection, and uploading documents into our EHR. In addition to Intake, this position is responsible for greeting visitors, managing office and marketing supplies, and monitoring the other general needs of the office.
This position will require someone who is outgoing, emotionally intelligent, and has high attention to detail.

EDUCATION REQUIRED: High School diploma or equivalent and 2-5 years’ experience in an administrative/office management or medical office role.

Specific Duties, Competencies, Responsibilities, and Behaviors
- Answer phones, screen and direct calls, operate a multi-line telephone system and other standard office equipment
- Present a pleasant personality and voice when speaking on the phone.
- Demonstrate proficiency with computer programs such as Microsoft Word, Excel, Google Docs, Google Sheets, etc.
- Demonstrate proficiency with grammar, writing, mathematical skills, spelling, punctuation, and attention to detail
- Great and monitor staff, visitors, and vendors and monitor movements in and out of buildings
- Provide general administrative and clerical support including data entry, spreadsheet creation and maintenance, etc.
- Participate in staff development, education and training as directed
- Work overtime and outside of typical work schedule/business hours as required
- Communicate with vendors including grounds keeping, cleaning, maintenance, etc.
- Maintain office procedures and provide input for new processes.
- Manage individual parent communication as it pertains to paperwork completion
- Assist with intake process for new clients as directed
