Position Summary

The Capital Projects Senior Support Specialist plays a pivotal role at Empower Pharmacy, ensuring that our capital projects are executed smoothly and efficiently while upholding our values of people, service, quality, and innovation. This position is essential in providing comprehensive administrative support to the capital engineering team, enabling the successful completion of projects that are vital to our company’s growth and operational excellence. Your attention to detail and ability to coordinate complex project elements will directly contribute to Empower Pharmacy’s mission of delivering high-quality, affordable medications.

 

In this role, you will manage the coordination of project documentation and schedules, working closely with project managers to prepare detailed requisition packages and secure necessary approvals. Your expertise will be key in reviewing bid submissions, addressing any content gaps, and ensuring seamless communication between departments and external vendors. Additionally, you will oversee the financial aspects of capital projects, ensuring timely and accurate invoicing, resolving discrepancies, and ensuring all “Purchasing and Legal” requirements are met before supplier engagement.


Duties and Responsibilities

  • Leads the capital engineering team’s administrative program, coordinating all project documentation and schedules to support department projects effectively.
  • Develops and routes capital project requests to support department initiatives by coordinating to obtain necessary approvals and facilitating seamless communication between departments.
  • Works with project managers to prepare comprehensive requisition packages ensuring all necessary documentation is included.
  • Reviews bid submissions for content gaps and makes recommendations with vendors to address and resolve.
  • Ensures timely and accurate invoicing by following up on the process as necessary, addressing discrepancies, and coordinating with vendors and the finance team to resolve any payment issues.
  • Proactively ensure all “Purchasing and Legal” requirements are met before project managers engage with suppliers, verifying compliance with company policies and regulatory standards.
  • Manages updating project budgets, timelines, and resources to ensure projects are completed on schedule and within budget while meeting quality and safety standards.
  • Collaborates with cross-functional teams, including operations, quality assurance, regulatory affairs, and finance, to align capital projects with business objectives and regulatory requirements.
  • Establishes and maintains relationships with external vendors, contractors, and consultants to support project execution and ensure compliance with industry standards and best practices.
  • Monitors department performance through key performance indicators and operational metrics to track progress and make data-driven decisions.
  • Provides support to the capital engineering team, fostering a culture of collaboration, accountability, innovation, and continuous improvement.
  • Develops and implements standard operating procedures, policies, and documentation to support project management and ensure compliance with regulatory requirements.
  • Communicates on department performance to corporate and site leadership, providing regular updates on key metrics, project progress and any challenges or successes.
  • Co-ordinates travel and team building events as needed.
  • Establishes and enforces policies, procedures, and best practices for managing contractors, temporary employees, and agency support staff.
  • Identifies, evaluates, and negotiates contracts with staffing agencies and service providers, maintaining strong vendor relationships and monitoring performance.
  • Performs other duties as assigned.

Knowledge and Skills

  • Knowledge of regulatory requirements, including Food and Drug Administration regulations, current good manufacturing practices, and industry standards related to pharmaceutical manufacturing facilities.
  • Strong technical understanding and expertise in engineering principles, facility design, construction management, and regulatory compliance.
  • Excellent management skills, with the ability to manage multiple projects.
  • Proficiency in project management software, MS office suite – Excell, Word, Visio, Outlook, Accounting software – QuickBooks or similar.

Experience and Qualifications

  • High School diploma or equivalent required. Bachelor’s degree in industrial engineering or similar, preferred.
  • Minimum of 15 years of experience in procurement and / or capital project management, engineering, or related field, preferably in the pharmaceutical or healthcare industry.
  • Proven history of successfully supporting large-scale capital projects from conception through completion, including budgeting, scheduling, and resource allocation.
  • Skilled experience in assessing vendor compliance with contract documents and deliverables.
