Position Title: Counseling Practice Manager

Reports To: Clinical Director/Executive Director

Location: Empowering Minds Care and Counseling, [Carrollton, GA and Villa Rica, GA]

Job Summary

The Counseling Practice Manager is responsible for overseeing the day-to-day administrative operations of Empowering Minds Care and Counseling. This role ensures the smooth functioning of the practice, facilitates effective communication among staff, and supports the delivery of high-quality care to clients. The Practice Manager collaborates with clinical and administrative teams to ensure efficiency and compliance with organizational goals and regulatory standards.

Key Responsibilities

Administrative Leadership

- Manage daily operations of the counseling practice, including scheduling, client intake, and staff assignments.

- Supervise administrative staff and ensure adherence to policies and procedures.

- Oversee the management of office supplies, equipment, and physical space to create a welcoming and efficient environment.

Financial Management

- Monitor and manage the practice’s budget, including tracking expenses and revenue.

- Handle billing processes, insurance claims, and client payments in collaboration with accounting staff.

- Prepare financial reports and provide insights to the Clinical and Executive Directors.

Staff Coordination

- Support hiring, onboarding, and training of administrative and clinical staff.

- Coordinate staff schedules and address any staffing issues or conflicts.

- Organize team meetings and facilitate effective communication among staff.

Client Services

- Ensure a high standard of client care and satisfaction by managing the intake process and addressing client concerns promptly.

- Develop and implement systems to streamline client interactions and improve overall client experience.

- Maintain confidentiality and compliance with HIPAA and other privacy regulations.

Compliance and Quality Assurance

- Ensure compliance with state, federal, and organizational regulations, including documentation and licensing requirements.

- Conduct regular audits of records and operations to maintain quality standards.

- Develop and update policies and procedures as needed to reflect best practices and regulatory changes.

Technology and Systems

- Manage scheduling and record-keeping systems, ensuring data integrity and efficiency.

- Implement and maintain software solutions to support practice operations, including electronic health records (EHR) systems.

Qualifications

Required:

- Bachelor’s degree in business administration, healthcare management, or a related field.

- Minimum of 3 years of experience in office management, preferably in a healthcare or counseling setting.

- Strong organizational and multitasking skills with attention to detail.

- Proficiency in Microsoft Office Suite and practice management software.

- Excellent communication and interpersonal skills.

Preferred:

- Master’s degree in a related field.

- Familiarity with mental health billing processes and insurance systems.

- Experience with HIPAA compliance and EHR systems.

- Leadership experience in a multi-provider practice.

Job Type: Part-time

Pay: $21.95 - $23.82 per hour

Expected hours: 20 per week

Schedule:

  • 4 hour shift
  • Monday to Friday

Ability to Commute:

  • Carrollton, GA (Required)

Ability to Relocate:

  • Carrollton, GA: Relocate before starting work (Preferred)
