Rail Logistics Coordinator
Job Description:
EMS Management is seeking a Customer Service Representative to be the voice of our company to our customers. You will be a key customer contact, responsible for building and maintaining strong relationships, and ensuring that their railcar cleaning and maintenance needs are met.
In this role, you will:
- Be the point person for all customer communication, answering questions, resolving issues, and providing updates on the status of their railcars.
- Work closely with the operations team to ensure that the scope of work for each railcar is clearly communicated and that all customer expectations are met.
- Evaluate enroute notifications from customers to ensure that the shop has the necessary information to service their railcars.
- Coordinate with third party personnel to notate inbound and outbound equipment.
- Work with management to learn and understand all documents required from customers and to develop proposals for new or revised services.
- Update all internal systems with the appropriate changes to car status.
- Maintain contact with the site on railcar parts inventory and coordinate ordering material with approved vendors. Notate and communicate lead times and ETA to customers and the internal organization.
- Provide daily, weekly, and monthly railcar status reports by utilizing internal computer systems.
- Respond in a timely manner to customer requests, emails, and phone calls.
- Participate in customer related conference calls as required.
- Participate in customer visits, audits, etc. as required by Site Managers.
- Maintain CSR department documentation requirements and work with QA to fully understand all car documentation and requirements for completed cars.
Qualifications
- High school diploma required; some college preferred.
- Prior clerical and administrative experience required.
- 1-2 years’ experience in railcar maintenance planning preferred.
- Excellent verbal, written, and electronic communication skills while communicating with all levels of the customer's organization.
- Proficient in verbal and written English skills.
- Ability to pay strong attention to detail, exceptional organizational skills, and ability to multitask.
- Computer proficiency in MS Office applications and other applications.

- Knowledge of industry regulations and standards.
- Ability to speak Spanish
