Executive Assistant – Older Adults and Transportation Services Division
Encompass Community Supports, formerly known as Rappahannock Rapidan Community Services (RRCS) is hiring an Executive Assistant to work in our Culpeper Office.

At Encompass Community Supports, our full-time positions are 37.5 hours weekly.
Our Executive Assistant for our Older Adults & Transportation Division performs a variety of administrative support and clerical tasks in the office. Work is performed under general supervision.
SOME OF THE RESPONSIBILTIES:
- Provides a variety of support to the division, including but not limited to: USPS and inter-office mail, preparing meeting minutes, ordering office and facility supplies, maintaining filing systems, petty cash account.
- Prepares multiple reports and meets deadlines. Maintains correspondence; proofreads and corrects submitted data; assists with publicity and prepares surveys/reports using a variety of computer software’s and internet-based programs.
- Answers telephone calls and answers questions about the division; covers the front desk/switchboard duties as scheduled, and in a backup capacity.
- Supports division fund raising and development functions including online data entry, maintaining donor database and correspondence, supporting a variety of grant applications with documentation and correspondence, and supporting/participating in various campaigns on an ad hoc as well as regular annual basis.
- Coordinates multiple aspects of adult older services newsletter publication in conjunction with Volunteer and Older Adult Services Manager.
- Orders and facilitates distributions of specialized supplies including, but not limited to, liquid nutritional supplements, mail room supplies, building and office keys.
- Attends training and maintains certifications as required by the agency and regulatory guidelines.
- Performs related tasks as required.
KNOWLEDGE, SKILLS AND ABILITIES:
- Thorough knowledge of standard office practices, procedures, equipment and administrative support techniques.
- Ability to type, calculate basic math and follow verbal and written instructions.
- Ability to read and understand detailed and complicated policies, procedures and materials that contain specialized words and phrases. Ability to establish and maintain effective working relationships with associates and the general public.
REQUIRED QUALIFICATIONS:
- High School Diploma or Equivalent
- At least 3 years of administrative support experience
- Valid Virginia Driver’s License
