Position Overview

End Hep C SF (EHCSF) seeks a highly organized, detail-oriented, and proactive Program Coordinator to support the initiative’s administrative, communication, and engagement efforts . This is a full time (40 hours per week) position provided by EHCSF’s fiscal sponsor, the San Francisco Public Health Foundation. This position reports to the EHCSF Strategic Director and works collaboratively with initiative partners. This role is mostly remote, but requires occasional in-person participation at events and meetings in San Francisco (approximately 30 days per year).

The ideal candidate is self-directed, meticulous, and skilled at managing multiple priorities while collaborating with a broad network of partners. They will have strong time management skills and the ability to work independently while staying connected to team goals. They should be proactive in seeking guidance and clarifying priorities to ensure alignment with the initiative’s work and continuous growth in the role.

This position is well-suited for someone who enjoys a mix of administrative support and community engagement, including working with people living with hepatitis C and people who use drugs. The ideal candidate enjoys engaging with diverse communities in a compassionate, non-judgmental manner, and thrives in a collaborative, mission-driven environment.

Responsibilities

Administrative & Operations Support

  • Manage scheduling for leadership, workgroups, and community meetings, ensuring timely reminders and follow-ups.
  • Take and distribute meeting notes, tracking action items and follow-ups for workgroups and leadership.
  • Maintain an organized digital filing system for documents, reports, photographs, and meeting records.
  • Track deadlines, requests, and key action items, ensuring alignment with initiative priorities.
  • Support event and meeting logistics, including coordinating virtual events, catering, and handling administrative details.

Communication & Coordination

  • Draft and distribute email updates, announcements, and reminders to initiative partners.
  • Maintain contact lists, stakeholder databases, and event calendars, ensuring they are well-organized and up to date.
  • Assist with website and social media updates by coordinating with team members to ensure consistent messaging.
  • Data Entry & Reporting

  • Collect and input data related to initiative activities, ensuring accuracy and confidentiality.
  • Assist with grant reporting, including gathering documentation and compiling assets for progress updates.
  • Draft and summarize key program activities for funders, partners, and internal leadership, ensuring clear and accurate reporting.
  • Process invoices, track expenses, and assist with funding-related administrative tasks with the Strategic Director and fiscal sponsor.
  • Manage gift card distribution and honoraria, including tracking disbursements, maintaining documentation, and ensuring compliance with financial guidelines.
  • Track project budgets and expenditures for accuracy, identifying discrepancies and coordinating with the Strategic Director for adjustments and approvals.
  • Manage inventory of program materials and supplies, placing orders as needed.
  • Ensure compliance with budget and spending guidelines, including funding restrictions and approval processes.
  • Event & Community Engagement Support

    Virtual Events

  • Manage RSVPs, calendar invites, and Zoom logistics, ensuring attendance is tracked and recorded.
  • Provide basic technical support during virtual meetings, including managing breakout rooms, screen sharing, and recording.
  • In-Person Events

  • Ensure presenter slides are received in advance, and set up sign-in sheets, materials, and welcome attendees.
  • Arrange food orders, venue logistics, and material distribution for in-person meetings and events.
  • Community Engagement & Follow-Up

  • Support the End Hep C SF Community Navigator Program by sending reminders, reserving rooms, and coordinating logistics for program activities.
  • Track and document community partner interactions, including sending follow-up communications, reminders, and thank-you messages.
  • Build and maintain relationships with community partners, supporting alignment and collaboration.
  • Required Skills & Experience

  • Bachelor's degree or a minimum of three years’ work experience in an administrative role within a professional setting, or, in lieu of a degree, a minimum of six years of relevant work experience.
  • Strong independent work ethic – ability to manage tasks with minimal oversight, stay on top of priorities, and proactively seek clarification when needed.
  • Excellent time management and organizational skills – ability to balance multiple projects, meet deadlines, and track progress effectively.
  • Proactive communication skills – comfort in reaching out to team members and external partners to gather information and move tasks forward.
  • Attention to detail – ability to track deadlines, organize materials, and ensure accurate documentation.
  • Community engagement and relationship-building skills – experience working with diverse stakeholders in public health, nonprofit, or advocacy settings.
  • Strong written and verbal communication skills – experience drafting professional emails, reports, or outreach materials.
  • Experience with remote collaboration tools – proficiency in Microsoft Office (Word, Excel, Powerpoint), Google Suite (Docs, Sheets, Drive, Calendar) and virtual meeting platforms (Zoom, Teams, etc.).
  • Experience assisting with website maintenance and basic design support , such as updating content, formatting pages, or creating visual assets using Canva or similar tools.
  • Preferred Skills & Experience

  • Demonstrated commitment to public health, harm reduction, or hepatitis C elimination, with experience in community-based initiatives or advocacy.
  • Experience supporting coalition-based or multi-stakeholder initiatives, particularly in public health or social services.
  • Familiarity with health equity frameworks, including working with communities impacted by health disparities.
  • Experience in outreach, community engagement, or event coordination, particularly in public health or harm reduction settings.
  • Strong communication skills, including the ability to support drafting and editing educational materials, outreach content, or reports for diverse audiences in collaboration with team members.
  • Experience using Canva or similar design tools to create flyers, event materials, or basic visual content.
  • Experience updating and maintaining social media and website content in collaboration with a team.
  • Comfort with data entry and reporting, ensuring accuracy in documenting program activities and outcomes.
