Overview
The Human Resources Coordinator manages the day-to-day administrative activities supporting recruitment activities, schedules, travel, and general office work supporting the assigned recruitment area(s).
Responsibilities
- Provide administrative support to Recruitment and HR Professional Team.
- Point of contact for new hires to complete pre-employment requirements including communication, background check processing, fingerprinting, drug screens, and on-boarding.
- Maintain accurate and organized documentation on all candidates based on compliance records, including documents and via the Applicant Tracking System (ATS).
- Complete data entry for a variety of recruitment activities and employment related programs such as new employee data, tracking in HRIS (Human Resource Information System) and ATS to ensure data integrity.
- Responsible for filing, maintaining, and auditing employment records including but not limited to Drug & Alcohol, Personnel, Fingerprinting (CHRC), and Form I-9.
- Assist Recruiters with sourcing and screening applications as needed.
- Provide reporting and analysis to measure event effectiveness, applicant flow, pipeline numbers, number of interviews, applicant contingent job offers, and hires.
- Email candidates' interview confirmations and book flights/hotel and update/manage the Interview schedule spreadsheet.
- Coordinate recruitment events and team schedules to ensure coverage. Prepare and send recruiting materials to event locations.
- Attend and participate in recruitment events as needed.
- Prepare new hire orientation packets.
- Other duties as assigned.
Qualifications
- High School Diploma, GED or equivalent; Bachelor’s degree preferred
- 2 years of experience in administrative, customer service or equivalent
- 1 year of aviation or airline experience preferred
- 1 year of Human Resources experience preferred
- Reliable and self-motivated with a positive attitude
- Analytical, interpretive and organizational skills
- Ability to multi task efficiently and effectively to meet deadlines
- Interpersonal, teamwork, written and verbal communication skills
- PC proficient in Microsoft Office software, specifically Word, Excel, Outlook and Powerpoint
- Knowledge of staffing and selection processes and requirements preferred
- Experience with ATS and HRIS systems preferred
- Demonstrated ability to work with confidential information.
Work Environment & Physical Demands
- Duties are performed in a typical office environment.
- May require travel and the ability to stand at career events.
- Ability to work additional hours including evenings and weekends as needed and the ability to travel up to 5%
- Must have the ability to stand, walk, sit and work on computer for long periods of time.
- Must be able to lift, bend, push and pull up to 40 pounds.
