Job Summary
The Administrative Coordinator for the School of Business plays a key role in supporting the deans with the day-to-day management of one of Endicott’s largest and most dynamic academic schools. In this position, you will take on a variety of administrative responsibilities while serving as a liaison between faculty, students, and campus departments. Your work will ensure the seamless operation of academic programs, data aggregation, events, and various School of Business projects. You will also be integral in fostering effective communication and collaboration across the school and campus to support the success of our academic initiatives.
Key Outcomes
50% of Time: Administration of School
- Orchestrate administrative and calendar management for the Deans of the Gerrish School of Business. Spearhead all correspondence and communication directed to the school, ensuring timely and satisfactory responses.
- Strategize, coordinate, and execute the school's special events.
- Prioritize and manage multiple time-sensitive matters requiring the Dean's attention.
- Cultivate relationships and deliver exceptional customer service to key constituents, including senior administrators, deans, faculty, staff, students, and external contacts. Lead resolution efforts for student issues within the Gerrish School of Business.
- Develop and optimize computer databases crucial to the operation of the Gerrish School of Business Graduate School. Maintain and streamline all School files (i.e., syllabi, student and faculty records, advising sheets, department files).
- Steward the Gerrish School of Business budget through Workday, including strategic procurement of office supplies, furnishings, educational materials, and catering for functions. Oversee accounts payable and reimbursements for department expenses; ensure financial records comply with college policies.
- Serve as the primary liaison for the GSB & WAX building, overseeing undergraduate and graduate class facilities. Proactively manage classroom readiness and coordinate service and maintenance requests with Facilities using SchoolDude. Direct office relocations.
- Initiate and follow through on Technology service requests using FreshTicket.
- Facilitate School Meetings and produce comprehensive minutes for archives.
- Innovate office functions, such as mail management, telecommunications, correspondence, document preparation, filing, and supply procurement.
- Identify and implement strategies to meet evolving needs of the School and the College.
- Performs other duties as needed to meet the needs of the School and the College.
10% of Time: Student Success
- Recruit, train, and oversee work-study position(s).
- Drive student academic success by managing a 25-student advising load, mastering the School of Business and College curriculum, and conducting regular meetings with students to chart academic progress.
40% of Time: Marketing/Social Media
- Develop and maintain a consistent social media presence across platforms (e.g., LinkedIn, Twitter, Facebook, Instagram) to promote the Business School's programs, events, and achievements.
- Create and schedule engaging content, including text posts, images, and videos, that align with the school's brand and messaging strategy.
- Monitor social media analytics and prepare reports on engagement, reach, and growth to inform future marketing strategies.
- Collaborate with faculty, students, and alumni to source success stories and noteworthy accomplishments for promotional content.
- Grow and implement digital marketing campaigns for program recruitment, events, and initiatives.
- Coordinate with Marketing & Communications to manage and update the Business School's website content to ensure accuracy and relevance and ensure consistency in branding and messaging.
- Advise on social media trends and best practices in higher education marketing to continually improve the school's online presence.

Knowledge/Skills/Abilities
- Bachelor’s degree required
- Minimum of 3-5 years of relevant experience
- Previous experience in academic program support, event coordination, and managing special projects
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Gmail, Google Calendar)
- Familiarity with Workday platform is a plus
- Experience with Zoom, Canvas, and RoomBook (EMS) is highly desirable
- Demonstrated ability to exercise discretion, sound judgment, and diplomacy in a professional setting
- Proven track record of managing confidential information with integrity and initiative
- Highly organized with a positive, enthusiastic attitude and exceptional attention to detail
