We are looking for a Project Administrator to join our team. The Project Administrator is primarily responsible for providing administrative support to the Senior Project Administrator and project team. This position will assist project teams with organizing and maintaining project correspondence and documentation, bid packages, subcontracts, insurance tracking, submittals, RFIs, and closeout owner manuals. Project Administrators may assist multiple project teams and projects at one time.

This position will assist project teams with organizing and maintaining project correspondence and documentation, bid packages, subcontracts, insurance tracking, submittals, RFIs, and closeout owner manuals. Project Administrators may assist multiple project teams and projects at one time.

Essential Functions
- Assist Project Manager with RFPs as needed.
- Create and manage bid packages.
- Track, Review and Log Compliance Items as needed, including Sub/Supplier Lists, W9, and Prequalification Documents.
- Track, Review, and Log Special Project Requirement items including certified payroll, WBE/MBE/SBA, and Section 3.
- Review weekly compliance report and follow-up on missing documentation including those listed above, signed contracts, and certificates of insurance.
- Participate in all required team meetings.
- Process meeting minutes
- Prepare Subcontract/Purchase Order Agreements
- Prepare Project Agreement change orders
- Prepare and maintain document logs (drawings, sketches, architectural directives, etc.)
- Assist Project Manager and Project Engineer with RFIs as needed
- Assist project team with submittal tracking, including weekly submittal/RFI logs.
- Assist project team with Project Directive (ASI, CCD) Log
- Create and maintain all transmittals and correspondence
- Maintain all project documentation including, but not limited to inspection and tests, field receipts, permits, and subcontractor daily reports.
- Assist Project Manager with organization and tracking of the punch list
- Assist with O&M manuals/closeout at end of a project
- Must be able to handle issues in a timely manner
- Participate in team meetings as necessary
- Maintain project files in an organized manner
- Assist estimating with preconstruction efforts
- Work with Senior PA regarding joint check agreement creation and follow-through
- Assist other project teams when needed
- Other routine office related functions may be required
- Must demonstrate the ability to handle multiple tasks simultaneously.
- Exceptional organizational skills required.
- Ability to meet designated deadlines is also a critical qualification.
- High school diploma or GED
- 2-year Associates Degree in Administration or equivalent experience
- Exceptional computer experience needed. Must be fluent with Microsoft applications including Outlook, Excel, and Word as well as Bluebeam
- Requires good organizational skills and attention to detail
- Experience with the construction industry and CMiC .
