SWAC Executive Support Specialist
KBR is seeking an experienced Executive Support Specialist to support the Space Warfighting Analysis Center’s (SWAC) Executive Support team at the Pentagon in Washington, DC. you will provide on-site support to the SWAC Senior Executive and staff to optimize day-to-day operations and drive integration within the Center.
As a SWAC Executive Support Specialist, you will represent the front office of SWAC and provide expert, comprehensive knowledge of SWAC responsibilities, priorities, and projects; develop and evangelize daily business practices; and help manage, guide and direct the organization’s staff to maximize its effectiveness.
Key Responsibilities
- Analyze incoming taskings/requests for information with a critical mindset to determine the appropriate product and information required for response
- Act as the SWAC workflow manager to manage and track action items and tasks using Enterprise Task Management System (ETMS2) (formerly Task Management Tool (TMT)) and other applicable software and database tools (e.g. Excel, Project)
- Support the SWAC Chief of Staff and Front Office personnel in developing and executing organizational policies, functional working groups, standard operating procedures, and special projects as necessary
- Develop briefings, bullet background papers, and other correspondence and create staff packages for senior leadership’s coordination and approval
- Support the Front Office staff in ensuring the Director is thoroughly prepared for each event on their schedule, to include scheduling preparation time, providing read-ahead materials, biographies of participants, subject matter experts, and arranging advanced meetings, as required
- Establish and maintain effective working relationships within the Space, IC, and stakeholder communities and understand their organizational goals/objectives, parochial views and their impact to SWAC
- Schedule meetings/events to maximize the organization’s time. Identify meeting participants, subject matter experts (SMEs) and required materials to thoroughly address the issue, produce solutions, direct further study, or re-vector the effort
- Perform broad office duties such as ordering supplies; receiving, sorting and distributing incoming correspondence; answering phone calls; setting up VTCs, receiving/escorting visitors; writing meeting minutes; making copies; and managing records management
- Assist security personnel with security clearance verification, building access, data transfers, processing visit requests, etc., as required
- Infrequent travel to CONUS and OCONUS locations at the request of the Government
- Other duties as required/requested by the Government within the constraints of the contract
Required:
- Active Top Secret/SCI clearance, agreeable to polygraph, which is something only a U.S. can obtain.
- Education: Bachelor's degree
- 5 years of experience in a Director’s Action Group or similar role supporting Senior Executives in classified environments
- Exceptional professionalism and strong experience exercising discretion and confidentiality with sensitive information
- Exceptional interpersonal and communications skills via phone, email and in-person
- Demonstrated ability to interact and build effective relationships and teams with government customers, FFRDCs, and contractors, working in a highly dynamic environment
- Self-motivated with the ability to work independently as well as collaboratively and effectively in a fast-paced environment
- Exceptional writing skills and ability to effectively communicate with senior government leaders
- Proficient with security processes/procedures (e.g., document marking/handling, generating and transmitting classified visit requests) in TS/SCI and SAP environments.
- Capable of opening/closing SWAC office spaces
- Strong experience with office management procedures, equipment and information management systems such as on-line calendars, ETMS2, security clearance visit request information systems, etc.
- Proficient in Microsoft Office applications (i.e., Word, PowerPoint and Excel)
- Experience with working in special access program and special access required environments
- Active TS/SCI clearance with current polygraph
- Prior experience as an A&AS contractor in a DoD, MDA, or IC organization
- Location: On-site
- Travel Requirements: Minimal 0-20%
