GENERAL SUMMARY
Manage the Office of assigned Executive(s) in an efficient and professional manner using executive level administrative and technical skills. Provide direct support by regularly exercising discretion and independent judgment, performing under only general supervision, to ensure the needs of the executive office are met. Assist and represent the executive and senior management team. Execute special assignments and tasks as needed or directed using structured and proven methods. Provide proactive support to the senior management team and Energy Northwest, directly related to management expectations, policies, and business operations, supporting our vision, corporate focus, and core values. Look for and drive improvements that directly support achieving stated goals and objectives.
PRINCIPAL ACCOUNTABILITIES
Manage the business of the Executive’s office in a proactive, efficient, and professional manner, through careful planning, scheduling, tracking, and implementing activities and commitments. Exercise discretion and independent judgment capable of analyzing conflicting demands and making recommendations to management. Successfully complete critical aspects of deliverables with a hands-on approach that facilitate the Executive’s ability to effectively lead the organization.
- Establish a consistent approach to execute the organization’s administrative activities such that the team operates and communicates consistently and effectively resulting in sustained high levels of team performance.
- Identify critical and urgent issues, design, and implement administrative policies, training and information flow.
- Research, prioritize and follow-up on issues and concerns presented to the executive. As needed, determine the appropriate course of action or response to accelerate progress and resolution.
- Keep executive well informed of upcoming commitments and responsibilities.
- Oversee calendars, handling executives’ requests and queries appropriately. Ensuring schedule is followed and supports the senior management goals.
- Coordinate travel and process expense reports in accordance with procedure.
- Arrange and schedule events.
- Identify and correct work/material inefficiencies/deficiencies.
- Organize, prepare, and in some cases formally present requested materials.
- Oversee, monitor, and track budgetary expenditures.
- Solicit, organize, and present budgetary input from within the organization as required.
- Monitor performance of key business activities and objectives intervening when needed to ensure results.
- Provide support to company-wide initiatives, projects, or tasks as assigned.
Regularly assist and represent the Executive in day-to-day operation of the organization. Function as a core resource to the senior management organization, exhibit flexibility and openness to change. Exercise discretion and independent judgment, making decisions, performing under only general supervision.
- Provide support to the senior management team. Collaboration, brainstorming, critiquing, effective communication, negotiation, political awareness, decision making, and execution/implementation are all essential of this position. Ramifications of these decisions may have significant impact on both personnel and organizational dynamics.
- Problem identification, recommendations, and resolution are key elements of this position. Requires an ability, awareness, and willingness to undertake such topics as company policies/procedures, company software/program changes, company/employee events, training, informational forums and management meetings
- Collaborate with other Executive Assistants to ensure consistency and alignment.
- Work involving special assignments may be performed away from the office/Energy Northwest.
Collaborate with executive to enhance communications, and resolve administrative and organizational issues and concerns, coordinate and implement change management. Anticipate the needs of the organization, particularly regarding employee development and communications, and prepare/coordinate the manager’s action to address them. Analyze options, alternatives and solutions to impending issues and concerns in a timely and specific manner to maximize management’s awareness and effectiveness in dealing with administrative, organizations and employee issues. Initiate employee/management meetings to further communications as deemed necessary.
Assist with contracts and fiscal year budgets, salary plans, performance plans, department incentives, and processes that the executive is Chair of within their organizations. Identify areas of concern, ensure performance within guidelines, and identify budget problems.
Function as a proactive team player with all support personnel, management and senior leadership. Plan and participate in combined management/organization workshops to promote team, core values and communications. Generate and present ideas for improvements. Assist in executing new ideas and suggestions. Promote and encourage performance management development, implementation, and celebrations throughout Energy Northwest through creative ideas, better communication, and continuous feedback. Seek out opportunities and provide mentoring to support personnel.
Anticipate future needs of the departments and collaborate with executive, their direct reports and staff to implement changes/improvements as necessary.
Run training reports and schedule refresher training as needed. Schedule and attend safety meetings as required, attend training sessions related to job skills.
Perform as a member of an Emergency Response Team (ERO).
Perform a pre-outage and an outage assignment.
REQUIRED EDUCATION & EXPERIENCE
- A high school diploma or GED is required.
- Requires a minimum of seven years of progressive administrative experience, including leadership responsibilities and independent decision-making authority.

Pay Range:
$32.72 - $49.08 Hourly
Midpoint:
$40.90
This position is salary, non-exempt in which the successful candidate would receive overtime for any hours worked over 40 hours in a pay week. The salary would be offered within the range stated above.
Typically, selected candidates are hired between the minimum and midpoint of the range, based on applicable experience and qualifications, market rate, internal equity, and budgetary allowances.
Offers will be negotiated based on each candidate's qualifications.
Incentive Compensation
This role is eligible to participate in our annual incentive plan. Incentives are earned based on employee performance against defined metrics and company goals.
