Looking for a Real Estate Licensed Director of Operations / Personal Assistant
Looking for a Real Estate Licensed Director of Operations / Personal Assistant for a top producing team in coastal Orange County. Applicants must have a high attention to detail and be passionate about organization, with the ability to organize workflow strategies for the entire team. Applicants should be able to handle a fast paced environment, anticipate the needs of the Team Leader and execute responsibilities with extreme detail at a high level. This is a role for someone who thrives in a team environment and has a "can do" attitude. Ideally the applicant has experience in the industry as an agent, transaction manager, or assistant to a top producing agent. This is not a position for someone newly licensed or transitioning to real estate sales. The role is to support the team lead and manage the team.
The job is typically 8:30am-4pm M-F with availability on weekends and evenings as needed. It is a demanding position but will lead to a lot of growth within the team. This position is primarily an administrative assistant role.
Salary of $60-70k/year plus some bonuses based on performance.
Tasks include:
● Write contracts (should already have experience with real estate contracts)
● Oversee the entire escrow period with the Transaction Coordinator and team
● Hands-on assistance with select clients
● Report to any inspections
● Facilitate showings at Team Lead's listings
● Facilitate showings for the Team Lead's buyers
● Facilitate day- to-day communications with prospective clients, current clients, and agents.
● Manage team marketing: Newsletters, digital, social and print (marketing is template based but needs review and
scheduling)
● Oversee lead generation systems currently in place and run CRM for Team Lead
● Open House set up and occasional hosting of open house
● Keep all files and records organized
● Note taking and dictation skills
● Some personal errands as needed
● Monitoring and notifying clients of important deadlines, planning appointments and scheduling inspections, etc.
● Prepare all listing materials: listing presentations, listing agreements (template based, but slightly customized based on the client)
● Pull Property Profile from the MLS, as directed by Team Leader
● Consult and coordinate with sellers on scheduling the listing photography, staging, repairs, cleaning, ordering and
putting out signage, lockbox, access requirements & marketing activities.
● Coordinating and advertising of broker and public open houses
● Input listings into MLS and marketing websites; updating as needed.
● Submitting all necessary documentation to brokerage via SkySlope for file compliance.
● Social media management and content creation
● Manage and update team’s website
● Collaborating with the brokerage marketing staff on creating listing presentations, postcards and other marketing
collateral
● Other duties and responsibilities as assigned by Team Leader.
Qualifications:
● Real Estate License and experience in the industry
● Strong literacy and numeracy skills to handle administrative tasks
● Knowledge of basic computer skills and technology - a plus if applicant is familiar with Skyslope, Google Workspace
● Working knowledge of social media platforms
● Ability to handle multiple tasks and projects at the same time as well as prioritize and manage time effectively
● Ability to effectively communicate with clients, leads, real estate agents, affiliates and vendors verbally and in writing
● People-oriented, dedicated to customer service, extremely organized and attentive to detail
● Ability to work independently but also follow the instructions of the Team Leader
