Law Firm Receptionist
About Us:
Engelman Berger, PC is a prestigious law firm dedicated to providing high-quality legal services to our clients. We are seeking a professional, organized, and friendly Receptionist to join our team. As the first point of contact for clients and visitors, you will play a crucial role in maintaining the smooth operation of our office while ensuring a welcoming and efficient experience for all.
Key Responsibilities:
- Greet clients, visitors, and guests with a warm, professional demeanor.
- Answer incoming phone calls, direct them to the appropriate person, and take messages when necessary.
- Handle client inquiries, both in-person and over the phone, in a courteous and professional manner.
- Maintain and manage the reception area and conference rooms so that they are clean and ready for the next meeting.
- Arrange refreshments, ordering food and setting up food and beverage for client and office meetings.
- Direct the flow of incoming and outgoing mail, FedEx/UPS packages, and deliveries to reach intended recipients.
- Assist with the preparation of documents, filing, scanning and other administrative tasks as needed.
- Maintain office supplies and ensure that the office environment is stocked and functional.
- Coordinate office meetings and assist with administrative support for legal staff.
Qualifications:
- High school diploma or equivalent required; additional education or administrative certifications a plus.
- Proven experience in an office or customer service environment, preferably in a law firm or professional services setting.
- Strong communication and interpersonal skills.
- Ability to multitask, prioritize, and manage time effectively.
- Exceptional attention to detail and organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
- Professional appearance and demeanor.
- Experience with phone systems, fax machines, and other office equipment.
- Knowledge of legal terminology and procedures is a plus but not required.
