Who we are looking for...
ETM is seeking an experienced Proposal Specialist to join our Marketing team in Jacksonville, Florida who will support our continued growth and business development initiatives through the development of proposals, presentations, and collateral. The ideal candidate will have a passion for developing compelling proposals, qualifications packages, and marketing materials that effectively communicate ETM’s capabilities. The following skills will be required for this position:
- Support the firm’s strategic growth initiatives through tracking opportunities, planning, producing, and delivering proposal submittals, and analyzing evaluations.
- Lead development of proposals (RFQ/RFP) for multiple business lines, supporting the team from the pre-marketing through interview stage, as required.
- Acquire an in-depth understanding of the requirements of the RFP/RFQ.
- Gather, develop, and distribute information from a variety of sources that may aid in the understanding and preparation of submittals.
- Collaborate with technical staff and project managers to gather project information and expertise.
- Lead kick-off meetings, facilitate quality reviews, and analyze internal debriefs and client feedback on proposals to support continuous improvement.
- Coordinate proposal assignments while enforcing schedule compliance.
- Manage document layout, ensuring submittals are aesthetically appealing and compelling.
- Assist with conceptualization and creation of graphics.
- Create persuasive client presentations and pre-marketing materials.
- Support the development and maintenance of a variety of collateral to promote the firm, while ensuring adherence to ETM brand and quality standards.
- Maintain a library of proposal content, project descriptions, and staff resumes.
- Ensure brand consistency across all external communications.
- Input and maintain the accuracy of marketing and business development data and run reports that support strategic initiatives and operational improvements.
- Meet tight deadlines while maintaining quality standards.
- Track proposal success metrics and refine approaches based on outcomes.
Requirements
- Bachelor's degree in Marketing, Communications, English, Journalism, or a related field.
- 3-5 years of experience in proposal development, preferably in engineering, construction, or professional services industry.
- Proficiency in Adobe Creative Cloud (InDesign, Photoshop, Acrobat, Bridge, Illustrator).
- Proficiency in Microsoft Office (Word, PowerPoint, Excel).
- Experience with Deltek Vantagepoint, Teams, and SharePoint is a plus.

- Must work well in a team environment, be adaptable, and be good at anticipating other’s needs.
- Ability to translate technical concepts into clear, compelling content.
- Team collaboration and stakeholder management experience.
- Self-motivation and ability to work independently.
- Detailed knowledge of marketing best practices and procedures.
