Conference Description - The Conference on Industry and Resources: Queen’s University Engineering (CIRQUE)
The Conference on Industry and Resources: Queen’s University Engineering (CIRQUE) is a premier engineering conference hosted by Queen's University Engineering, celebrating its 42nd anniversary. The conference's primary objective is to showcase the versatility of an engineering degree and the broad range of job opportunities available to engineering students across various industries. The conference also aims to connect students with leading industry professionals, engineering alumni, and top employers who share insights and experiences on career paths and how to succeed after graduation. Furthermore, CIRQUE aims to expose students to non-traditional engineering post-graduate roles, allowing delegates to broaden their view of their postgraduate opportunities.
Director Role Descriptions
The conference is seeking organized, motivated, and hard-working team players to join the executive team and create an engaging and professional conference experience. The executive team will be encouraged to take initiative and problem solve, with the ultimate goal of growing the conference. The conference encourages individuals with diverse backgrounds, expertise, and experiences to apply.
1. Director of Relationships
The Director of Relationships is an essential part of the CIRQUE Executive Team, responsible for overseeing the Sponsorship and Speaker portfolios. This position holds significant importance, and candidates must possess exceptional organizational and communication skills.
The Director of Relationships will manage a team of coordinators tasked with reaching out to companies and professional organizations, preparing grant and bursary applications, and recruiting a diverse group of speakers for the conference. The role requires regular communication with the Co-Chairs to provide updates on company relations. The ideal candidate must be a passionate leader capable of managing a team and presenting the conference's value proposition to potential sponsors and speakers.
2. Director of Marketing
The Director of Marketing plays a crucial role in the CIRQUE Executive Team, responsible for developing and implementing effective marketing strategies to attract delegates. They will lead and manage a team of Marketing Coordinators and ensure all social media channels remain up to date with relevant information about the conference.
The Director of Marketing will work closely with the Co-Chairs to develop digital and print marketing materials, including graphics and visuals, that are engaging and informative. They will continuously evaluate and refine marketing strategies to ensure their success in gaining attendance for our events and conference. Overall, the Marketing Director's goal is to increase CIRQUE's visibility and ensure that the conference attracts a wide range of delegates.
3. Director of External Affairs
The Director of External Affairs plays a crucial role in expanding the reach of CIRQUE beyond the Engineering faculty. This position is responsible for reaching out to other STEM faculties and promoting the conference through various channels such as club fairs, social media groups, and other relevant platforms. The Director will work closely with the Director of Marketing to ensure that all marketing efforts are aligned and effective.
The primary goal of the Director of External Affairs is to increase attendance from non-engineering students and create a more diverse and inclusive conference. Candidates for this role should have excellent communication and networking skills and a strong understanding of outreach and engagement strategies.
4. Director of People & Culture
The Director of People & Culture is a critical member of the CIRQUE Executive Team responsible for upholding Equity, Diversity, Inclusion, Accessibility, and Sustainability (EDII-AS) throughout all aspects of the conference, including events and marketing materials. This role involves promoting and furthering team building and culture within the executive team by organizing social activities on a bi-monthly basis for our team.
The ideal candidate for this role would be passionate about EDII-AS and have experience in fostering a positive and inclusive culture. They must be able to lead by example and ensure that EDII-AS principles are incorporated into all aspects of CIRQUE, from recruitment to attendee experience. In addition to their leadership role, the Director of People & Culture will work closely with other team members to ensure that the conference is accessible and accommodating to a diverse group of attendees.
5. Director of Logistics
The Director of Logistics plays a vital role in the success of CIRQUE, working closely with the Co-Chairs to ensure that all conference details are finalized. The primary responsibility of this position is to book the conference venue and maintain regular communication with venue representatives to ensure that all aspects of the conference can run smoothly.
As the Director of Logistics, you will also manage coordinators who will assist in planning events and managing conference logistics. Additionally, you will be responsible for creating the final schedule of the conference and planning meals for the weekend, ensuring that all attendees have a positive experience. The ideal candidate for this position should possess excellent communication, organizational, and time-management skills. They should be able to work well under pressure and be adaptable to changes in the conference schedule.
6. Director of Finance
The Director of Finance plays a critical role in the CIRQUE Executive Team, responsible for managing the conference's finances. This includes analyzing the previous year's budget to identify areas for improvement, developing budgets with the Co-Chairs throughout the year, and maintaining accurate accounts of finances.
The Director of Finance also oversees team spending and assists the Sponsorship team with grant writing. The ideal candidate for this position should have an interest in finance, accounting and/or business, excellent attention to detail, and excellent communication skills. They should also be comfortable working with the broader team to achieve our financial goals.
7. Director of Events
The Director of Events works with the Director of External Affairs and Logistics to put on CIRQUE's bi-monthly "Industry Nights". Hosting short 2-hour sessions in collaboration with other clubs, conferences or sponsoring companies to help keep students engaged throughout the year, not only for the conference.
The Director of Events will be also assisting with the productions of workshops for the conference. The ideal candidate for this position should possess excellent communication, organizational, and time-management skills. They should be able to work well under pressure and be adaptable to changes in the events schedule.
