Job Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Admin Office Assistant. The ideal candidate will have excellent communication skills, strong organizational abilities, and the ability to multitask effectively. As an Admin Office Assistant, you will play a crucial role in supporting our team and ensuring the smooth operation of our office.
Responsibilities:
- Organize office and assist associates in ways that optimize procedures
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information
- Schedule and plan meetings and appointments
- Monitor level of supplies and handle shortages
- Resolve office-related malfunctions and respond to requests or issues
- Coordinate with other departments to ensure compliance with established policies
- Maintain trusting relationships with suppliers, customers and colleagues
- Perform front end receptionist duties
- DMV registrations, renewals, title transfers and VIN inspections for all company-owned vehicles, equipment, and trailers. Ensures registration documents are current and kept in all company vehicles.
- Deposits bank deposits into appropriate bank accounts as directed by the office manager.
- Pick up company mail and packages from designated mail boxes.
- Drops off all mail/ packages as designated by the office manager.
- Ensures all documentation is uploaded into Google Drive.
- Manages company-provided employee birthday and anniversary treats.
- Follows all safety policies and protocols for the job area, including OSHA requirements.
- Adheres to Enhanced Home Builders Employee Handbook standards and Enhanced Home Builders policies and procedures.
- Performs other duties as assigned, which may include performing duties for other departments as needed.
Requirements and Qualifications:
- High school degree or equivalent educational experience
- 1 year of administrative experience in this field or a related field
- Must be 18 years of age
- Ability to physically stand, bend, squat, and lift up to 50 pounds
- Positive attitude and work ethic
- Able to work independently or as an active member of a team
- Excellent interpersonal skills and communication with all levels of management
