We’re seeking a motivated, tech-savvy Administrative Assistant with QuickBooks Online experience and a strong understanding of the construction/landscaping field to join our remote team.
Key Responsibilities
- QuickBooks Online: Create and send invoices, set up new projects, and handle basic job costing within QuickBooks Online. (Note: This is not a full-charge bookkeeping position.)
- Office Administration: Answer phones, schedule consultations, and address client inquiries about project details.
- Research & Tech: Use Google Drive, Google Docs, ChatGPT, Loom, and other tools to manage documents, conduct online research for construction or landscaping-related tasks, and streamline office processes.
- Customer Service: Provide friendly, informative, and timely communication to clients—reflecting our warm, personable company culture.
- Scheduling & Calendar Management: Organize and maintain appointments and team schedules using Google Calendar.
- Self-Starter: Identify tasks that need to be done and take the initiative, even with minimal guidance.
Qualifications
- QuickBooks Online Proficiency: Experience with creating invoices, projects, and simple job costing.
- Construction/Landscaping Knowledge: Basic familiarity or hands-on experience with construction or landscaping concepts is ideal.
- Tech-Savvy: Comfortable using digital tools (e.g., Google Suite, ChatGPT, Loom) and able to learn new platforms quickly.
- Communication Skills: Exceptional phone etiquette, clear writing ability, and strong interpersonal skills.
- Home Office Setup: Dedicated workspace with reliable internet to effectively work from home.
- Transportation & Background: Reliable transportation and ability to pass a background check.
- Time Management: Strong organizational skills, capable of managing a flexible schedule responsibly.
