Position Summary
The Events and Partnership Coordinator is responsible for planning, organizing, and executing events that enhance brand visibility, foster client relationships, and support business growth. The coordinator manages event logistics, including venue selection, vendor negotiations, and budget tracking, while ensuring high-quality experiences for attendees. Additionally, they cultivate and maintain strong partnerships with vendors, industry organizations, and key stakeholders to expand the company's network and drive collaborative opportunities. They are also tasked with tracking event performance metrics and providing insights to optimize future initiatives.

Additional Responsibilities
- Building and Executing an Annual Events Calendar : The Events / Partnership Coordinator is responsible for creating a comprehensive annual events calendar that outlines all planned events throughout the year. This involves :
- Identifying Key Dates : Selecting dates that align with organizational goals and avoid conflicts.
- Coordinating with Teams : Collaborating with internal teams to ensure all departments are informed and aligned on event schedules.
- Budgeting : Estimating costs and securing necessary funding to support each event.
- Internal and External Event Planning, Organization, and Coordination : The coordinator plays a crucial role in both internal (company meetings, training sessions) and external events (conferences, community outreach, sponsored events). Key tasks include :
- Logistics Management : Overseeing venue selection, catering, audio-visual needs, and other logistical elements to ensure smooth operations - swag, tents, etc.
- Vendor Coordination : Establishing relationships with vendors and managing contracts to secure services necessary for event execution.
- Onsite Management : Ensuring all aspects of the event run according to plan, addressing any issues that arise during the event.
- Collaborating with Strategic Partners for Co-Marketing Leads : A significant aspect of the role involves working with strategic partners to develop co-marketing initiatives. Responsibilities include :
- Identifying Opportunities : Researching potential partners whose goals align with the organization's objectives.
- Creating Collaborative Campaigns : Designing joint marketing campaigns that leverage both organizations' strengths to generate leads and increase visibility.
- Monitoring Partnerships : Evaluating the effectiveness of partnerships through regular communication and feedback mechanisms.
- Managing and Administering Marketing Development Funds (MDF) : The coordinator is tasked with overseeing the allocation and use of Marketing Development Funds (MDF), which are essential for supporting marketing activities. This includes :
- Budget Management : Creating and managing budgets for MDF to ensure funds are utilized effectively across various marketing initiatives.
- Tracking Usage : Monitoring how funds are spent and ensuring compliance with organizational policies.
- Reporting Metrics : Analyzing the impact of funded activities on overall marketing performance and making adjustments as necessary.
- Coordinating with vendor / partners to acquire MDF existing and / or new sources.
- Managing Event-Related ROI Metrics : Measuring the return on investment (ROI) for events is critical. The coordinator must :
- Set Clear Objectives : Establish specific goals for each event, such as lead generation or brand awareness enhancement.
- Collect Data : Use various metrics to assess the success of events, including attendee engagement levels, revenue generated, and post-event feedback.
- Analyze Results : Evaluate the data collected to determine the overall effectiveness of events in achieving set objectives, informing future planning strategies.
