Job Overview
We are seeking a highly organized and proactive Office Administrator to oversee the daily operations of our business. We are an underground construction company in Albuquerque. The ideal candidate will be responsible for ensuring efficient office management, supporting staff, and maintaining a productive work environment. This role requires strong leadership skills, attention to detail, and the ability to manage multiple tasks effectively. This work is remote with the possibility of becoming into in-person.
Duties
- Maintain digital filling systems and ensure all documents are accurately filed and easily accessible.
- Maintain accurate job lists and crew assignments.
- Create bids for current and new customers.
- Pay vendors.
- Invoice customers in a timely manner.
- Weekly payroll for 15-19 employees.
- Online management of digital clock in/out for all employees.
- Submission of permits for Bernalillo County, City of Albuquerque, City of Santa Fe and County of Santa Fe.
- Request traffic control plans and barricades.
- Implement office management procedures to enhance efficiency.
- Handle e-mail and phone, ensuring effective communication both internally and externally.
- Provide excellent phone etiquette when interacting with clients, vendors, and team members.
Skills
- Proficient in schedule management to optimize the use of time and resources.
- Excellent organizational skills for effective file management.
- Comprehensive knowledge of office management practices to foster a productive work environment.
- Strong phone and e-mail etiquette skills to represent the company professionally during all communications.
- Efficient in Excel, Word and QuickBooks preferred.
Job Type: Full-time
Pay: $23.00 - $27.00 per hour
