Job Position: HR Admin Assistant
Location: Flint, MI
Pay Rate: $18.00/hr
Shift: 7a-3p Mon-Fri, Contract/Temporary
Entech Staffing is seeking an HR Administrative Assistant for a position in Flint, MI. This is a contract position with the potential to go direct based on job performance, attendance, attitude, etc.
Primary Duties:Answer all incoming calls and direct callers to the appropriate personnel. Pleasantly greet all visitors and employees and assists them with their needs.
Complete the weekly payroll process with assistance from HR & Leadership which includes: Audit, enter and maintain all hours captured by time entry system and make edits. Take the initiative to communicate with payroll administrator, departments, supervisors, etc., to ensure hours are accurate. Submit hours for final processing by deadlines.
Collect, review, and distribute incoming mail and internal documents.
Compile, type, and organize memos, reports, and other documents as required.
Assist with/backup for new hire and benefits orientation and enrollment. Ensure all documents are completed and checked for accuracy.
Assist with staffing needs such as any onboarding, recruiting, or plant walkthroughs, communication with staffing services, etc.
Create timecards for new hires and ensure timecards are ready on the day of hire for proper time-data collection.
Enter and maintain data for job costing.
Assist with/backup for ensuring all personnel records and documents for hourly personnel records are maintained.
Is knowledgeable about FMLA and assists employees, local HR Representative, and the HR Manager, with the FMLA process as needed. Communicate with employees as necessary regarding FMLA needs & communicate all updates with local HR Representative.
Assist the Safety Manager as requested with safety incentives, postings, etc.
Go onto the production floor and interact with employees to complete necessary forms and processes when necessary.
Assist with all employee welfare activities such as safety luncheons, holiday meals etc.
Attend all HR Team meetings, events, and assist other HR Team members when able. Work cooperatively as a team in the best interest of the company overall.
Audit entries into the timekeeping database daily to ensure accurate data is being maintained and to allow for proper notification and discipline as allowed by collective bargaining agreement or company policy.
Issue attendance write ups and assist with discipline as necessary, in a timely manner as required by the collective bargaining agreement and company policy.
Monitor temporary staff probationary periods and advise Plant Management of those people approaching date of hiring eligibility. Ensure temporary employee evaluations are submitted on time.
Work closely with supervisors and employees on the administration and tracking of paid time off/vacation programs and balances. Comply with policy and CBA related to paid time off.
Follow the procedures and processes as outlined in the Collective Bargaining Agreement (if applicable.) Provide reports such as seniority reports, as required by the union. Assist in all union grievances such as providing required documents in a timely manner, etc.
Always maintain the strictest level of confidentiality.
Adhere to all ISO 9001 and ISO 14001 policies and procedures.
Perform all other duties as listed in procedures, or as assigned by plant and HR managers at an acceptable service level.
High school diploma or equivalent required. Some college preferred.
Previous office work experience
Previous HR experience preferred
Strong communication, organization, and problem-solving skills
Must be strong in computer use and Microsoft Office Suite, such as Excel
Must have excellent communication skills
Must have reliable transportation and be team oriented
Must pass a drug test and criminal background check
