ENTEK is seeking applications for a Purchasing Assistant role to join us on-site at our Lebanon, Oregon location (relocation within 40 miles of Lebanon is required).
The Purchasing Assistant performs purchasing and administrative duties of limited scope and authority under the supervision of existing purchasing staff. This role works closely with Buyers to update order status tracking, maintain vendor information, revise purchased item records, organize and track requests for quotation, and perform other filing and administrative tasks as required. Strong organizational skills, attention to detail, computer skills, and effective written, in-person, and phone communication are required.
Key Responsibilities:
- Communicate with suppliers via email, phone calls, website portals, etc. to update status on existing purchase orders to maintain accuracy of delivery dates.
- Verify and reconcile vendor confirmations to the purchase order, ensuring correctness of items, quantities, pricing, delivery dates, delivery location, shipping method, project numbers, account numbers, and payment terms.
- Contact suppliers on past due and back ordered deliveries and communicate status with relevant stakeholders.
- Maintain and update purchased items and vendor information in MRP software.
- Submit purchase orders to specified vendors for routine items, kanban items, or other demands as requested by other team members.
- Reconcile discrepancies from vendor invoices to purchase orders by working with Buyers, accounting, and receiving departments.
- Print and assemble relevant documents for operations including traveler packets, kanban cards, RMA forms, and transportation pick up requests.
- Represent ENTEK with the highest standard of professional conduct when interacting with suppliers and customers.
- High School diploma or equivalent.
- Ability to communicate professionally with co-workers and vendors in person and via phone or email correspondence.
- Strong computer and typing skills.
- Familiarity with Microsoft Office products.
- Strong analytical, problem-solving, and troubleshooting skills.
- Strong interpersonal skills.
- Excellent organizational and time-management abilities.
- Satisfactory results from a pre-employment drug screen.
Working Environment
This role's hours are Monday-Friday, 7:00 a.m. – 3:30 p.m.
While performing the duties of this job, the employee is frequently required to talk or hear, is occasionally required to stand, walk, or sit for extended lengths of time, and requires specific vision abilities, including close, color, and focus. The employee will work in an office environment. The employee is occasionally exposed to moving mechanical parts, fumes or airborne particles, extreme heat, risk of electrical shock, and vibration. The noise level in the production facility is usually moderate, and this employee will sometimes be exposed to the production area. The employee is occasionally exposed to outside weather conditions.
