SUMMARY: Serves as confidential secretary to the Building Coordinator and as a facilitator to the school public.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Makes, receives and routes telephone calls, and takes messages
- Maintains school records and files for building, principal, and related requirements.
- Makes and receives telephone calls, takes messages, routes calls.
- Reviews principal’s mail, brings attention to important pieces of mail
- Distributes mail
- Greets Visitors
- Processes/maintains physical and electronic school records and files, distributes, files records/reports, correspondence etc., related to building functions and coordinator needs.
- Maintains student demographics in PowerSchool
- Processes all requests for transcripts, electronically and manually
- Processes student grading reports, distributes progress reports, and prepares report cards for mailing.
- Maintain and reconcile attendance records in PowerSchool on an hourly/daily basis and prepare computerized attendance sheets as needed
- Respond to inquiries from students, teachers, and parents regarding attendance rules, absences, suspensions, and enrollment status.
- Maintains Instructional Budgets and Internal Accounts
- Receives, records and deposits daily monies received
- Processes purchase orders, supply requisitions, check requests
- Handles maintaining, ordering, check-in, storage and distribution of building supplies
- Orientates substitute teachers and substitute support staff on building procedures.
- Generates and maintains electronic immunization reports and records for the County Department of Health.
- Processes attendance/payroll for the building staff
- Responsible for Staff and Student Accident Reports
- Provides appropriate routing and emergency first aid/medical needs for staff and students
- Administers medication and maintains records of medical accounting procedures according to policy and regulations
- Compiles and maintains student Health Plans (Asthma, Allergy, Seizure, Diabetes, and chronic Illness)
- Verifies Data in PowerSchool for State Count Days and generates all Count Day reporting with necessary reports
- Responsible for Office Equipment Maintenance
- Responsible for building publications: gathering information, writing, layout and design, printing and mailing/web upload request
- Assists with Open House, Parent-Teacher Conferences, and Commencement
- Attends Open House and Parent-Teacher Conferences (with compensation time)
- Assists parents and students with passwords/logins for school-based data programs
- Maintains student ID program and information on the high school web site
- Performs such other duties as may be assigned by administration
EDUCATION and/or EXPERIENCE:
High school diploma plus three to five years in general office work and/or training; or equivalent combination of education and experience
OTHER SKILLS and ABILITIES:
- Proficient computer use in Microsoft Word, Excel, PowerPoint
- Proficient in PowerSchools and other record keeping programs
- Ability to type 55 wpm
- Ability to communicate effectively in both oral and written form
- Ability to develop effective working relationships with students, staff and the school community
- Ability to perform duties with awareness of all district requirements and Board of Education policies.
