Key Responsibilities
- Handle a high volume of afterhours phone calls and voicemails from clients and background actors with professionalism and urgency.
- Maintain an efficient workflow transition across varying shifts by communicating and finalizing pending show information with clients and background and updating casting briefings.
- Collaborate with clients and optimize the use of all available resources by booking last-minute replacements, rush calls, additional hires, pulling photos, calling, emailing and/or texting details, call time changes, checking background availability, setting up fittings and interviews.
- Complete thorough recap notes in an opening/nightly/weekend Casting Coordinator report, if applicable.
- Proficient and knowledgeable in production paperwork call sheets/prelims/final prelims.
- Provide SAG-AFTRA and studio security a nightly list of all background actors working the next day, if applicable.
- Process Cast Clearances, Taft Hartley paperwork and Occurrence Reports, if applicable.
- Work effectively across a variety of communication channels in-person, phone, email, and live-chat.
- Gain knowledge of union contracts and adult and child labor laws to help guide clients.
- Become proficient and knowledgeable with all office systems including but not limited to phones and casting programs.
- Support a positive culture of teamwork, inclusion, collaboration, goals, values and procedures.
- Excellent client service / people skills- ability to work with many different personality types.
- Effective solution-based problem-solving skills including decision making, time management and immediate prioritization of tasks as assigned.
- Excellent verbal and written communication skills with superior attention to detail, and the ability to organize and express ideas clearly.
- Possesses a strong pro-active work ethic, precise attention to detail and quickly adapt to new concepts, ideas, workflows and responsibilities.
- Strong working knowledge of MS Word & Excel, Power Point, MS Team and Zoom.
- Proven record of dependability and reliability.
- Self-starter with a positive attitude.
- Work successfully in a team environment as well as independently.
- Ability to work overtime as required by business needs.
- Customer service experience is highly desirable.
- Experience working in a fast-paced work environment.
- General knowledge of the entertainment industry a plus.
