Responsibilities:
Internal Operations:
- Attend weekly Construction meetings
- Develop new employee onboarding agendas
- Organize client visits (reserve conference rooms, arrange lunches, meeting set up)
- Order and ship customer gifts/thank you cards
- Assist with employee care packages (get well/funeral)
- Schedule monthly financial and safety meetings
- Assist with internal and external audits annually
- Enroll employees in continuing education
- Assist with EAS University (scheduling, speaker, invitation, lunch ordering)
- Pay for permits as requested by field
- Arrange onsite lunches if requested
- Negotiate corporate rates with hotels
- Manage travel management app for field team and negotiate leases for onsite leadership
- Reconcile travel credit card statement (from accounting)
- Book flights as needed
- Book all travel requested by managers and executives
- Arrange meetings as requested
- Assist President with calendar management
- Reconcile Executive expense report
- Purchase items as requested and maintain credit card report
- Assist with annual budget meeting reports
- Organize construction outings and events
- Design and purchase shirts/hats/other employee items
- Create and order business cards for Construction Team
- Assist with department presentations
- High school diploma or equivalent required
- Proven experience in construction coordination or administrative support, preferably in the construction industry
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Proficiency in Google Suite
- Knowledge of construction terminology, contracts, and processes is highly desirable
- Experience booking travel and/or third party travel platforms helpful
- Ability to work independently and as part of a team
- Attention to detail and problem-solving skills
