As a Transportation POD Administrator at Environmental Design Group, you will be part of a multidisciplinary team to coordinate and administer various financial, human resources, project-specific, and client-specific programs. The POD Administrator will provide direct administrative support to the office and the Transportation POD within Environmental Design Group. Individuals in this position must be well-organized, detail-oriented, self-directed, able to manage multiple deadlines and projects simultaneously, and be excellent communicators.
As a Transportation POD Administrator at Environmental Design Group, you will:
- Administer and lead various financial, project-specific, and client-specific programs for the POD.
- Effectively balance administrative processes and policies while providing support to project managers to ensure successful completion of tasks.
- Gain a strong understanding of the business and department, then proactively identify opportunities to provide additional support. Approving and processing opportunities and job forms.
- Compose, review, and format contract-related documents, including letter proposals, verbal agreements, master service agreements, and task orders.
- Prepare and assist in the creation of various documents and agreements, such as grant writing, proposals, letters, reports, labels, transmittals, subcontractor agreements, project manuals, and project contracts.
- Partner with Project Managers and Directors to keep client and project information current via Cosential (EDG's client relationship management system).
- Complete new project setup, including creating and updating records in the accounting and CRM systems
- Prepare and distribute a variety of complex documents.
- Maintain a database and electronic files for client records, financial records, contractor files, project records, and a master list of deliverables for projects.
- Schedule, plan, and attend meetings and events as necessary, and record meeting minutes.
- Support business development by directing incoming client and prospect inquiries to appropriate staff.
- Carry out any other responsibilities as assigned for the organization's best interest.
- A high school diploma or equivalent is required. An associate or bachelor's degree in business administration is preferred.
- 0-5 years of experience in an administration or related position is required. Knowledge of the A/E/C/ industry is a plus.
- Advanced Excel skills are required. Must be proficient in Microsoft Office, Word, Outlook, and PDF Editor.
- Positive and outgoing personality, with the ability to conduct client, vendor, and employee outreach.
- Ability to juggle multiple tasks and coordinate efforts with multiple team members.
- Excellent written and oral communication skills with the ability to address technical details in a clear, concise, and compelling manner.
