What are the responsibilities and job description for the Accounting Administrator position at Environmental Equipment Sales and Service LLC?
Located in Oxford Massachusetts & Rochester, New York, Environmental Equipment Sales & Service (EESS), is the one-stop-shop with a strong reputation and vast expertise. We offer products, services, and innovations that provide solutions our customers need now and in the future. We are seeking a motivated, skilled Accounting & Sales Administrator to our growing team. This individual will be responsible for:
- Oxford, MA & Rochester, NY locations.
- Oversees all the organization’s accounting and sales activities.
Tasks & Responsibilities (Accounting):
- Report to our Senior Accountant and Director of Finance of the parent company,
- Work closely with our Senior Accountant,
- Responsible for answering & routing phone calls, as needed.
- Maintain a professional work atmosphere by performing and communicating in a manner that promotes good relationships with customers, clients, co-workers, and management,
- Cash applications to customer accounts,
- Ensure vendor invoices and data are entered correctly and match in Karmak,
- Track credit card charges and receipts,
- Other duties as assigned.
Tasks & Responsibilities (Sales Admin):
- Identifies opportunities to streamline the entire sales process along with synergies/efficiencies within sales operations.
- Execute and manage Salesforce/CRM for the organization. This includes creating new processes, updating existing processes and maximizing the overall company investment with the platform.
- Manage the Pending Report to include calculating costs/gross margins, ensuring operations and sales are in agreement for work that will be completed and the timeline for completion. Managing the process in Salesforce for putting trucks on pending and marking trucks as shipped.
- Manage outside deals and commissions for sales team.
- Support marketing initiatives to provide input on marketing efforts, prepare monthly reporting and manage the marketing tools within Salesforce (Pardot, email blasts, etc.).
- Ensure the sales team has the tools, resources and Salesforce training as needed to maximize the efficiencies of the operations.
- Identifies and resolves operational issues.
- Manage and create Salesforce Reports and Dashboards as needed to ensure the success of the sales team and company.
- Stay up to date on new sales, marketing and Salesforce trends.
- Ensures all paperwork in completed accurately and timely.
- Support and verify inbound shipping of new truck sales from Heil and other vendors.
- Assist and support title work at both locations and work with vendors to expedite.
- Other duties as assigned.
Education & Requirements:
- Required: A bachelor’s degree in Accounting/Finance.
- Required: Microsoft Office Suite: 2 years
- Required: Customer Service: 2 years
- Required: Sales Admin, Finance, Accounting: 3 years
- Preferred: Karmak Fusion & Salesforce
Skills:
- Knowledge of accounting principles and procedures.
- Exceptional motivational skills and works well with a team but also able to work alone
- Knowledge of financial forecasting.
- Experience using accounting and software systems/programs.
- Strong analytical and problem-solving skills.
- Strong communication and interpersonal skills.
- Excellent time management and organizational skills and the ability to multitask and prioritize.
- Proficient in computer software systems including MS Office and MS Excel.
