Job Summary:
Assists the Facilities Manager in administering and directing the maintenance program to maintain buildings, custodial, and grounds. Maintains equipment and property owned assets. Assists with coordinating construction and renovation programs, as contract with client provides for. Asst. Facilities Managers will support, consult, and inform the Facilities Manager in charge of the assigned shopping center.
The Asst. Facilities Manager is guided by a thorough knowledge of facilities maintenance and construction principles, practices, and procedures, applicable laws and government regulations, principles of management and supervision and procedures and policies of departments and facility.
Work Performed:
Ø Assists the Facilities Manager in planning, organizing, and controlling functions and activities of all support services under the scope of the contract.
Ø Assists in reviewing and evaluating existing programs, services, and procedures. Assists in developing, implementing or guiding implementation of new and/or modified property maintenance programs, services, policies and/or procedures.
Ø Performs a variety of semi-skilled and skilled work in various crafts such as carpentry, HVAC, plumbing, welding, painting, electrical work, sheet metal work, masonry, and maintaining simple temperature controls.
Ø Meets with client administrative and supervisory staff, as well as community groups, agencies, contractors, architects, and engineers to plan, organize, coordinate, and/or communicate programs, services, policies and/or procedures.
Ø Assists in monitoring flow and quality of work to assure timely completion of workload and adherence to the contractual Scope of Work, Service Level Agreements for each site, Key Performance Indicators, and the client’s standards and regulations.
Ø Ensures adequate inventories of supplies and approved requisitions for equipment and supplies as authorized.
Ø A Computerized Maintenance Management Software (CMMS) may or not be applicable to each site. If a CMMS is present, then the work orders will be tracked and maintained utilizing the designated platform. If a CMMS is not present, an electronic filing program must be kept and maintained.
Ø Assist in the preparation and managing of budgets, including utilities management and energy measures program.
Ø Prepares and maintains a variety of departmental records and reports. Prepares monthly reports for clients according to ESCFederal procedures at the direction of the Facilities Manager.
Ø Provides a “” approach to all maintenance aspects of the property. Personally, responsible for all assigned maintenance details and expected to complete all feasible repairs.
Ø Assist in managing and ensuring compliance with State, or local regulatory and code requirements; ensures compliance with federal and local work place safety regulations.
Ø Assists the janitorial department as needed to ensure the property is kept to aesthetic standards.
Ø Oversees the completion of a variety of management functions.
Ø Assists the Facilities Manager in monitoring the work performance and preparation and/or reviewing of performance evaluations for assigned personnel.
Ø Helps orient new employees and assist in developing training procedures for assigned personnel.
Ø Assists the Facilities Manager in the planning, coordination, and monitoring of construction and development of physical facilities.
Ø May serve as liaison with contractors, architects, engineers, and material and equipment suppliers under the direction of the Facilities Manager.
Ø Assists in grounds care and snow removal as specified in client contract.
Ø Assists in custodial services and Life Safety program management or oversight, as specified in client contract.
Ø Performs other services and duties, as delegated, and serves on a variety of facility committees as required by clients or the Scope of Work agreements.
Job Specifications:
Education and Experience Required:
- Minimum 2 years responsibility at a supervisory level in areas of property management, engineering, maintenance, or construction in Commercial Properties. The ability to read, comprehend, and transmit complicated detailed instructions orally and in writing. Will accept related military experience of comparable levels.
Physical Demands:
- Sits, stands, bends, kneels, climbs stairs, ladders and equipment; has good sense of balance to work on heights. Some lifting of medium and/or heavy equipment and tools.
Working Conditions:
- Some exposure to hazards or risks. Heat, noise, dust and dirt, areas requiring environmental controls or access limitations. Ability to meet deadlines and make sound decisions, sometimes under stress. Works hours necessary to maintain facilities in a safe manner including nights and weekends.
Computer Literacy:
- Proficient in the use of Windows based office software including but not limited to Microsoft Office, Word, Excel, PowerPoint and Outlook.
SCHEDULE: Tuesday to Saturday 1pm to 9:30pm – 40 hours.
