As part of our expansion, we are seeking a motivated and organized Administrative Assistant to join our team. You will play a crucial role in supporting daily operations and ensuring the smooth functioning of our office.
The ideal candidate will possess excellent communication skills, a positive attitude, and the ability to multitask effectively in a busy environment.
As the first point of contact for visitors and callers, you will play a key role in creating a welcoming and organized atmosphere.
This position is in-person from our office in Baton Rouge, LA. Key Duties and essential functions :
- Answer incoming phone calls, directing the caller to the appropriate department or personnel.
- Greet guests and visitors entering the office and direct them to the appropriate area or individual.
- Maintain inventory of office supplies, promotional items, and ensure stock levels are up to date.
- Schedule and coordinate catering for office meetings and large scale events.
- Maintain the company calendar and enter on a timely basis all business-related events and travel plans communicated to you by team members.
- Receive and distribute daily incoming mail and packages received.
- Provide administrative support to the team as needed, including tasks like copying, collating, and binding documents.
- Coordinate travel arrangements and assist in planning and preparation for local trade shows and promotional activities.
- Manage a large database of customers and support clientele in preparation for the company’s holiday gift giving season.
- Assist in the preparation of proposals, presentations, and other documentation for client meetings and internal reviews.
- Provide ad-hoc project support across various departments including marketing, sales, and operations Supervisory Responsibilities :

- Previous experience in an administrative or assistant role, preferably in a professional office environment.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills, with a keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM & AI software is preferred.
- Ability to work independently and as part of a team, demonstrating a proactive and collaborative approach.
