The Role:

We are seeking a hands-on Operations Manager/Office Manager who will wear multiple hats and is self-motivating, and thrives in making order out of chaos. You’ll be overseeing daily operations, managing the office, and supporting our team to ensure world-class service delivery. While we have big goals and high standards, we are a small business—meaning you’ll need to dive deep, adapt quickly, and juggle priorities as they come. This is a role for someone who thrives in solving problems, working collaboratively, and embracing both the chaos and the growth opportunities of a small business.

Key Responsibilities:

  • Operations Management
    • Oversee daily business operations, including scheduling, logistics, and workflow.
    • Ensure jobs are executed efficiently, on time, and within budget.
    • Coordinate with technicians, vendors, and subcontractors to ensure quality service and support.
    • Continuously improve processes, looking for opportunities to streamline workflows and eliminate bottlenecks.
    • Support the implementation of Standard Operating Procedures (SOPs) for consistency and scalability.
    • Implement goals and metric tracking.
    • Create systems, processes, and documentation for efficiency and effectiveness.
  • Office Management
    • Handle administrative tasks such as customer service inquiries including walk-ins.
    • Manage office supplies, tools, and equipment, ensuring the office runs smoothly.
    • Answer calls and emails promptly, ensuring customers are informed and satisfied.
  • Team Leadership
    • Lead by example, living out our core values and fostering a culture of accountability, excellence, and improvement.
    • Support team development, training, and onboarding for new staff members.
    • Ensure clear communication between field technicians, office staff, and management.
    • Act as a key point of contact for resolving operational issues and customer escalations.
  • Growth & Innovation
    • Work closely with leadership to identify growth opportunities for the business.
    • Implement new technologies and solutions to improve efficiency, including AI-based tools for administrative tasks.
    • Be a champion for change, continuously seeking to elevate the business to the next level.

  • Limited Resources: We’re a small team, so sometimes you’ll need to wear multiple hats and figure things out with minimal support, and creative in resource availability.
  • Unpredictability: Last-minute changes, unexpected issues, and shifting priorities will happen—adaptability is a must.
  • Building Systems: We are working hard to document processes and scale, but we’re not there yet. You’ll be a big part of making this happen.
  • Some benefits: Normal paid time off stuff, 401k match, and supplemental insurance stuff but we are not trying to compete with larger companies here.  So let us know what you find more meaningful, and we can get creative in offering what has more meaning to you.

Must-Haves:

  • Strong alignment with our core values (Explore with Purpose, Weather Any Storm, Prove It).
  • 3 years of experience in operations management, office management, or a similar role in a small business.
  • Exceptional organizational skills, with the ability to prioritize, act, and know what high value activities will move the business forward.
  • Leadership qualities that inspire confidence and foster a positive work culture.
  • Proficiency in office software (Microsoft Office, Project management software).
  • Ability to manage and resolve conflicts, with a customer-first mentality.  We are customer obsessed.
  • A proven track record of improving processes and driving efficiency.

Nice-to-Haves:

  • Experience in the septic, plumbing, or related service industries.
  • Familiarity with AI-based tools and systems that improve business processes.
  • Jobber, QB Online, Asana, Trainual, BambooHR experience.
