Administrative Assistant
Envision Family Law LLP is currently seeking an Administrative Assistant for our Long Beach office.

Salary:
$24 - $27 hourly rate
Reports To:
Director of Administration and Assistant Director of Administration (collectively “Admin”).
Job Overview:
As an Administrative Assistant you will be responsible for performing a variety of tasks including, but not limited to: Documenting account/file activity in accordance with the Firm and client policies, taking client payments, sorting and processing mail, and assisting the Admin team with projects.
Responsibilities and Duties:
- Organize our case filing systems to ensure all documents are properly sorted and easy to locate, and other administrative duties as needed.
- Draft and proofread legal documents and forms for accuracy and consistently.
- Interact with clients to collect information and assist clients with finding and sharing information.
- Prepare and proofread correspondence.
- Handle outgoing and incoming mailings to be put into our database and then sent out in a timely manner.
- Ensure all data and documents are properly put in the client matter throughout all stages.
- Electronically share sensitive legal documents with clients.
- Organize hard copy and electronic client files and documents in accordance with established procedures.
- Copy, scan, edit, and file documents to support the team.
- Collect and retrieve information from electronic client files as needed.
- Perform general operational tasks as needed.
- Communicate with all clients, prospective clients, and guests with the utmost level of professionalism, care, tact, and absolute warmth and empathy.
- Assist with special projects.
- Participate in opening and maintaining office spaces.
- Frequent various office locations as needed.
- Accept other administrative tasks as needed to assist the team and ensure the Firm runs smoothly.
- Take care of administrative tasks and office correspondence by answering phone calls, emails, and communicating with opposing attorney offices.
Qualifications:
- Some college preferred.
- High school diploma or equivalent required.
- High-level attention to detail is required.
- Strong oral and written communication skills.
- Multitasking and stress management skills are essential for this position.
- Have a pleasant personality, as this is also a customer service role.
- Work authorization required.
- At least one year of office experience preferred.
- Valid Driver’s License.
- Excellent computer skills in MS Office and Google Suite.
- Ability to work independently.
