Job Description
The Front Desk Coordinator is responsible for general administrative tasks to include: insurance verification, scheduling, reception, front end revenue cycle, and varying physician office tasks. You will run point for operational procedures for the receptionists and assign and disseminate work. You will present top notch customer service capabilities and exude the highest standards in interaction with patients, their families, referring physicians and their staff.
This position is a Monday-Friday position-No nights or weekends!!
The shift will be 8:00 AM-5:00 PM.

- Greet patients, performs check in tasks for arriving patients in the electronic medical record, instruct patients on completion of paperwork, verify patients' insurance where applicable, obtain copies of patient identification and outside records.
- Collects copayments, coinsurance, and self-pay payments
- Document payments in the practice management system
- Prepare day-end batches according to policies and procedures
- Reconciles payments taken with reporting
- Completes end-of-day tasks to include:
- Running reports
- Identifying no-show patients and communicating with appropriate personnel
- completing daily batching tasks and other office close procedures.
- Answer, route, transfer, and retrieves phone calls and messages.
- Ensure referrals and outside records have been obtained prior to service.
- Communicates with Medical Assistants to ensure efficient patient flow through the office and proper documentation of visits.
- Answer multiple phone lines, ensuring quality customer service is administered.
- Schedule appointments according to scheduling guidelines.
- Adhere to urgent and add-on patient visit guidelines and communicate such visits to clinical staff per office protocols.
- Confirm appointments prior to patient visit, where applicable.
- Prepare daily charts and maintain medical files and electronic medical records.
- Coordinate patient documentation for billing with business office.
- Serve as the first point of contact for patient concerns, questions and customer service inquires.
- Discuss payment arrangements as allowed within EVPS policy and document accordingly, or promptly refer patient to office manager as required by policy.
- Obtain authorizations and referrals for patient visits per office protocol, if applicable.
- Coordinate patient flow through the front office.
- Communicate with clinical staff and physicians to optimize patient throughput.

- Thorough understanding of a medical facility's processes and practices.
- Flexible and able to multitask with a sense of urgency.
- Professional and courteous communication.
- Bilingual (English/Spanish) skills are a plus.
- Must have flexibility to work in other local clinics to cover shifts as needed.
- High School Diploma or GED required.
- 1 years of experience in an administrative supporting role required.
- Experience in a healthcare environment is preferred.
- A recent graduate of a Medical Office Administration or Medical Office Management program will be considered in lieu of experience.
- Working knowledge of eClincalWorks is also preferred.
- Knowledge of Microsoft Office Suite, including, Word, Excel, and Outlook.
