Envision Technology, an innovative business developing and producing advanced electro-optical systems and Small Uncrewed Aircraft Systems (sUAS) for defense and law enforcement applications, is seeking an Administrative Assistant. In this role, you will be a key support member contributing to daily operations and facilitating effective communication across all departments.
Responsibilities:
· Serve as the first point of contact for visitors.
· Greet and screen all visitors per company policy.
· Provide general administrative support to the office such as data entry, organizing, filing, and ordering office supplies.
· Coordinate and order meals for meetings, events, and office needs as required.
· Assist with scheduling meetings, travel arrangements, and office events.
· Support presentations, reports, and other materials for meetings and events.
· Provide general human resources administrative support.
· Assist with the scheduling of interviews and coordination with candidates.
· Support safety officer as needed.
· Review and analyze purchase requisitions and generate purchase orders.
· Adhere to regulatory requirements in the purchasing process.
· Track orders and confirm system lead times, delivery dates, and costs.
· Ensure timely delivery of items and follow up with suppliers on late orders while updating internal stakeholders.
· Assist Accounts Payable as needed to reconcile any invoice discrepancies.
· Other tasks as assigned.
Qualifications:
· Associate Degree in Business Administration or related field with 4 plus years of administrative experience and/or purchasing experience.
· Experience working within a manufacturing environment desired.
· Strong organizational and time-management skills, with the ability to prioritize tasks.
· Excellent communication skills, both verbal and written.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
· Proactive in managing tasks and timelines from various departments.
· Ability to work independently and as part of a team.
· Experience in customer service, accounts payable, and human resource duties, a plus.
· Precise attention to detail and accuracy.
· Ability to act with integrity, professionalism, and confidentiality.
· Capable of moving up to 25 pounds.
