POSITION OVERVIEW

The Transportation Manager oversees the safe, reliable, and compliant operation of a fleet of vehicles supporting accessible transportation services for older adults, individuals with disabilities, and community members requiring transportation assistance. This includes managing preventative maintenance schedules, coordinating daily inspections, vendor repairs, telematics systems, and ensuring regulatory compliance across all vehicles.


The Transportation Manager plays a vital role in ensuring vehicle readiness, minimizing downtime, and supporting timely, comfortable, and respectful transportation services for the communities we serve.


KEY RESPONSIBILITIES

Fleet Operations and Maintenance (25% of your time)

  • Manage the daily operational readiness of a fleet of up to 35 vehicles, including passenger vans, buses, sedans and wheelchair accessible vehicles.
  • Ensure drivers complete daily pre-trip and post-trip inspections using mobile applications.
  • Conduct or coordinate quarterly and annual full-vehicle inspections.
  • Schedule and oversee preventative maintenance and repairs with approved vendors.
  • Maintain complete maintenance logs, inspection records, and service histories.


Staff Management (20% of your time)

  • Recruit, train, and supervise transportation staff, in coordination with the HR team, ensuring all personnel meet training and certification requirements, including Article IX, AED, CPR/First Aid, and maintaining a valid Level 1 Fingerprint Clearance Card.
  • Implement/manage a blended training curriculum (in-person and online) to support driver readiness and ongoing education.
  • Address driver concerns related to scheduling, vehicle assignments, or client interactions.
  • Enforce the Fleet Policy, setting clear expectations for safety, conduct, and vehicle care.


Compliance and Safety (10% of your time)

  • Ensure all vehicles meet local, state, and federal safety and operational requirements.
  • Monitor fleet telematics and dash camera systems to ensure proper functionality and reporting.
  • Respond promptly to driver-reported vehicle issues and coordinate necessary repairs.
  • Monitor all trips using GPS and camera systems managed, using SmartFleet (or other similar telematics system), to ensure driver safety, route adherence, and incident accountability.
  • Ensure all activities are conducted in compliance with local, state, and federal transportation regulations.


Operational Support (25% of your time)

  • Manage the daily vehicle assignments to ensure trip coverage across multiple sites and programs, by working with the dispatch and client care teams
  • Collaborate with dispatch and client care teams to maintain efficient and responsive transportation services.
  • Support emergency planning for breakdowns, towing, and vehicle replacements.


Reporting and Administration (10% of your time)

  • Produce regular reports on fleet utilization, maintenance activities, compliance status, and downtime incidents.
  • Analyze operational data to recommend fleet improvements and cost-saving initiatives.
  • Manage the department’s annual budget, including forecasting costs for repairs, maintenance, fuel, and staffing.
  • Identify and implement cost-saving strategies while maintaining high standards of service delivery and safety.


Community Engagement & Representation (10% of your time)

  • Represent the transportation department at internal and community meetings to promote collaboration and build partnerships.
  • Maintain an open-door policy to encourage communication and foster trust among team members and program staff.
  • Promote a culture of service, professionalism, and support within the transportation team and across the organization.


QUALIFICATIONS

  • High school diploma or GED required; associate’s or bachelor’s degree preferred.
  • 5 years of experience in fleet management, vehicle maintenance coordination, or transportation operations.
  • Strong understanding of DOT and FMCSA compliance standards for commercial vehicles.
  • Experience using fleet management software, GPS tracking, or telematics systems preferred.
  • Proficient with Microsoft Office (Excel, Word) and mobile technology.
  • Excellent organizational, communication, and problem-solving skills.

Additional Requirements

  • Ability to work Monday through Friday with occasional after-hours or weekend support as needed.
  • Must be able to perform vehicle inspections outdoors in varying weather conditions.
  • Valid driver’s license with a clean driving record.
  • Must pass a background and driving check.


COMPENSATION

Competitive base salary commensurate with experience ($55,000 - $65,000 per year) Employee Stock Ownership Plan (ESOP) Health Coverage Additional Benefits. Pay range may vary further based on geography and previous experience.
