As an Executive Assistant, you’ll be the right-hand person to our Vice President of Construction Operations, helping keep projects on track and ensuring smooth day-to-day operations. We’re looking for someone who takes initiative, stays two steps ahead, and brings a positive, team-first attitude to everything they do.


This is a full-time onsite position located in Fishers, IN with Envoy.


What you’ll do


Calendar Management

  • Manage a busy calendar, scheduling meetings, calls, and appointments.
  • Coordinate travel arrangements, including flights, hotels, and car rentals.


Communication Management

  • Act as a liaison between the VP and executives, employees, and clients.
  • Prioritize and manage email communications, flagging important messages.
  • Draft, review, and organize confidential correspondents.
  • Greet visitors, review correspondence, and coordinate organizational functions.
  • Work with admins to assist with call routing, ordering, and shipping needs.


Task Management

  • Keep the VP informed of upcoming commitments and responsibilities.
  • Manage competing priorities and ensure timely project completion.
  • Submit biweekly expense reports and take on special projects and duties as needed.

Experience Needed

  • 3-5 years as an Executive Assistant
  • Advanced knowledge in Google Suite, Microsoft Office, and ASANA.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Associate’s degree in Business Administration or Communication (preferred).
  • Strong organizational and communication skills.
  • Ability to multitask, prioritize, and meet deadlines.
  • Must pass a criminal background check, with a valid driver's license and reliable transportation.
