As an Executive Assistant, you’ll be the right-hand person to our Vice President of Construction Operations, helping keep projects on track and ensuring smooth day-to-day operations. This is a full-time onsite position located in Fishers, IN with Envoy.
What you’ll do
Calendar Management
- Manage a busy calendar, scheduling meetings, calls, and appointments.
- Coordinate travel arrangements, including flights, hotels, and car rentals.
Communication Management
- Act as a liaison between the VP and executives, employees, and clients.
- Prioritize and manage email communications, flagging important messages.
- Draft, review, and organize confidential correspondents.
- Greet visitors, review correspondence, and coordinate organizational functions.
- Work with admins to assist with call routing, ordering, and shipping needs.
Task Management
- Keep the VP informed of upcoming commitments and responsibilities.
- Manage competing priorities and ensure timely project completion.
- Submit biweekly expense reports and take on special projects and duties as needed.

Experience Needed
- 3-5 years as an Executive Assistant
- Advanced knowledge in Google Suite, Microsoft Office, and ASANA.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Associate’s degree in Business Administration or Communication (preferred).
- Strong organizational and communication skills.
- Ability to multitask, prioritize, and meet deadlines.
- Must pass a criminal background check, with a valid driver's license and reliable transportation.
