MEP Boat and Recreation Vehicle Registration and Titling Bureau:

The Boat and Recreation Vehicle Registration and Titling Bureau is a division of the Massachusetts Environmental Police. The bureau’s mission is to provide superior customer service to the people of the Commonwealth while processing and generating registrations and titles for motorboats, snowmobiles and off highway recreation vehicles. The bureau is responsible for ensuring the Massachusetts Environmental Police are in compliance with federal and state regulations.


Description:

The Massachusetts Environmental Police’s Boat and Recreation Safety Bureau seeks a highly motivated Office Support Specialist I to provide critical day to day administrative support for the Safety Education and Boating Database programs.

The Office Support Specialist I performs administrative support functions such as correspondence via email and phone inquiries, assist in preparing reports and education class materials packages and other materials as needed; archiving of past records and historical documents; respond to inquiries, assist in various office programs and perform related work as required. Employees are expected to pay attention to detail, have the ability to multi-task, and provide verbal and written communication effectively.


Duties include but are not limited to:

  • Provides administrative support to assigned personnel.
  • Assist personnel with day-to-day operations, including document management, filing, and maintaining detailed record-keeping systems. Ensure compliance with state and federal reporting requirements.
  • onducts research, maintain databases, enter and verify boating safety course records, and compile reports for internal and external stakeholders, such as the U.S. Coast Guard Auxiliary and approved education providers.
  • Maintains electronic meeting and event calendars. Schedule and attend meetings, maintain electronic calendars, conduct research, and prepare materials for internal and external engagements.
  • Uses computer software or databases to prepare reports and compile data.
  • Creates and maintains database and spreadsheet files.
  • Responds to inquiries and provides information to internal and external contacts.
  • Assists in coordinating unit or department programs and activities (e.g., trainings, seminars, teleconferences, employee recognition activities, recruitment and retention efforts).
  • Ensures office activities are operational and in compliance with standards or guidelines.
  • Assists in communicating with local, state, and federal agencies to exchange information, and coordinate activities. Assists with information exchange, supports compliance efforts, and coordinates boating safety initiatives with local, state, and federal agencies.
  • Responsible for screening phone calls. Serve as a point of contact for inquiries from the public, government agencies, and stakeholders. Manage office correspondence, screen phone calls, and direct inquiries appropriately. Support the coordination of public safety messaging, including assisting with social media content creation.
  • Responsible for the organization and upkeep of detailed filing systems/file rooms.
  • Schedule and attend meetings, maintain electronic calendars, conduct research, and prepare materials for internal and external engagements.
  • Maintain office supplies, oversee the production of educational materials, and ensure adequate stock of safety flyers, law summaries, and exam materials. Maintains inventory of educational and outreach materials.

  • Organizational skills.
  • Based on assignment, the ability to supervise and assign work effectively.

Minimum Entrance Requirements - Office Support Specialist I:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:

Substitutions:

I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.

II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

Educational substitutions will only be permitted for a maximum of two years of the required experience.
