The Department of Industrial Accidents is seeking an Administrative Secretary to serve as the liaison between the Impartial Scheduling Unit and its internal and external customers and to ensure effective operations and compliance with Dispute Resolutions’ policies and procedures.
Duties include but are not limited to:
- Responsible for accurately entering all Form 121 (Appeal of Conference Order) into CMS.
- Enters payment information for Appeals into CMS and verifies accuracy on Report 460 (Checks Received for Appeal for Hearing).
- Responsible for scheduling all exams, second exams and S. 8(4) exams.
- Provides technical assistance to the Administrative Judges, Attorneys, Impartial Physicians, Employees and to the public to ensure compliance with agency laws regarding S.11A, S.8(4) and S.36.
- Accurately prepare and review vouchers for entry into CMS.
- Process all refunds, missed appointments and late report letters.
- Responsible for returning all second checks and rejected checks with appropriate system generated letter.
- Import all correspondence between internal and external parties into DMS.
- Receive and distribute incoming mail to appropriate individuals.
- Identify and refer inaccurate data in CMS, DMS, on reports and Agency forms to unit’s Manager/Supervisor
- Responsible for all scanning into DMS and ensuring complete accuracy in CMS.
- Responsible for notifying all case parties of scanned Impartial Reports in DMS.
- Responsible for ensuring all medical packets are scanned into DMS prior to scheduled exam.
- Research and resolve all internal and external inquiries regarding DMS.
- Provide training and assistance to new unit hires.

Applicants must have a high school diploma or equivalent and (A) at least three (3) years of full-time, or equivalent part-time, experience in clerical or secretarial work or (B) any equivalent combination of the required experience and substitutions below.
