Facilities Manager
The Facilities Manager oversees the maintenance, safety and operations of ASU Enterprise Partners’ physical premises, including several work suites in Tempe and Scottsdale. This role ensures that the facilities are well-maintained, secure, and comfortable for ASUEP employees and visitors. The Facilities Manager leads and manages planning activities, including annual budgeting and space transition projects; it also oversees expense reporting and vendor management, with a focus on cost containment and organizational efficiencies. Responsibilities include management of conference and meeting facilities and providing exceptional service to guests hosting their events in our facilities. This position ensures daily building operations run smoothly and manages a team of customer service support staff who provide clean and well supplied break rooms, reliable fleet and mail services, and other operational services that facilitate a well-organized, comfortable, safe and efficient working environment.
What you'll do
Develops and manages the annual budget and manages operations/facilities-related expenses, with a focus on cost containment
Implements and manages a centralized procurement and inventory program for supplies and facilities-related materials, including development of policies and trainings that support organization-wide compliance
Implement and manages asset tracking program, including development of policies and trainings that support organization-wide compliance
Develops and maintains vendor contacts; fosters positive and collegial relationships with vendor contacts
Manages contracts and payments with vendors, including invoices, POs, and SOWs
Ensures that routine and as-needed maintenance/repair is performed to a high standard; this includes painting, materials repair, carpet cleaning, appliance repair, remodeling, materials installation, etc.
Leads and manages projects as needed to facilitate efficient use of ASUEP facilities and resources
Manages processes and programs directly related to exceptional customer service within scope of responsibility
Uses sound judgment that is consistent with standards, practices, policies, and regulations of Enterprise Partners
Partners with ASUEP team members to provide service needs (such as audio-visual needs for meetings)
Builds and maintains positive relationships with all levels of team members
Identifies barriers to exceptional customer service and makes recommendations to effectively resolve problems or issues
Leads and supervises the Customer Service Coordinator and a team of Student Customer Specialists
Manages, plans, and coordinates central supply ordering and delivery services, general maintenance and organization of office space, and other building-related needs
Responsible for workspace health and wellness
Manages and facilitates all office move requests
Manages all aspects of fleet services, including vehicles and golf carts
Facilitates long-term storage needs
Maintains policies and procedures manual for areas of responsibility
Recruits, motivates, develops and retains a high-performance team

Ability to coordinate and manage outside vendors for building-related issues

Highly organized, with superb attention to detail, thoroughness and able to handle multiple projects with evolving and sometimes conflicting priorities
Experience with project management tools (e.g. Wrike, Jira, Monday, Asana) and methodologies, including task tracking
Ability to manage short- and long-term projects, including complex multi-phase projects that require careful stakeholder management
Knowledge of general principles, practices and procedures of office and building management
Ability to document all processes and procedures for position including administrative and building operation activities
Ability to maintain a high degree of confidentiality and responsibility regarding information related to Enterprise Partners, its subsidiaries and University business and confidential prospect information
Excellent competency of Microsoft Office Suite
Ability to represent the institution well
Advocate’s belief in the vision of ASU as the New American University
Relevant qualifications
Bachelor’s Degree AND
At least two (2) years managing budget, expenses, and contracts
At least five (5) years of facilities/operations management experience OR
Any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved
Preferred skills and abilities
Experience with service desk or ticketing systems strongly preferred
